Main purpose of job: 

The British Embassy in Bamako is part of a worldwide network representing British political, economic, security and consular interests overseas.  The British embassy is fairly new -established in 2015- but is expanding and with a strong aid portfolio.  Our aim is for the UK to become an energetic presence in the region, working together with the EU, UN and other partners to help support Mali’s development and security.   

The Program/Post Administrative Assistant for the National Crime Agency will be expected to: assist UK-based staff in day-to-day duties; help with administrating and delivering a significant UK funded project to tackle crime and promote stability; manage and maintain office information systems; and conduct general office duties to include accounting responsibilities. The role calls for energy, dynamism, flexibility and the willingness to work outside of normal working hours where necessary.

Roles and responsibilities:

  • To assist with project management duties, where necessary attending meetings with stakeholders, helping to manage contractors, assurance duties, translation and accurate, record keeping.
  • To assist in coordinating training programmes for local partners - this may involve liaison and meetings with local partners to set up logistics, gather participant profiles and secure and set up of training venues. You will be a single point of contact for training issues as they arise. 
  • To undertake general administrative duties to include all normal office administration duties, photocopying, maintaining ledgers, responding to support requests, booking flights – sometimes with approved contractor / sometimes with local airlines - and booking hotels as and when required.
  • To help manage project budgets, gather and prepare financial data and assess project spending profiles against planned forecast while ensuring that spend is recorded and reflected correctly.
  • To lead on payment processes including raising requisitions and purchase orders. To conduct reviews of the quarterly financial reports submitted by London to ensure that budget expenditure is properly allocated against the correct account codes.
  • Strong oral and written communication skills (English and French).
  • Strong working knowledge of  Microsoft Office Excel and Microsoft Office Word.
  • Proven experience of budget and financial planning, analysis, and forecasting.
  • Strong analytical, planning, time management and organisational skills.
  • Highly organised and detail-oriented with excellent interpersonal skills and customer service experience.
