Main purpose of job:

To provide high quality customer service for passport and visa applicants, completing administrative requirements in a timely and professional manner, and providing support to colleagues and the wider embassy.

Roles and responsibilities

This is an exciting role allowing the successful applicant to act as the public face of the British Embassy, demonstrating UK values of fairness, honesty and equal standards of service for all applicants. The role is fast-paced and allows room for training and growth. The jobholder will be joining a team of six colleagues working in the Embassy’s consular and visa section, managed by our Vice-Consul, and will develop close working links with visa colleagues in Pretoria and passport colleagues in the UK.

 Specific duties:


Customer service

Provide a high quality customer service for visa and passport applicants, dealing with all customers fairly and professionally. Resolve face to face, phone and email enquiries in a timely and professional way. Liaise with customers (by email and/or phone) to arrange appointments, document requirements and collections. 

Visa and passport processing and computer skills

Receive passport and visa applications from customers, checking that the correct fee has been paid, the correct form submitted and all supporting documents are received. Use computer skills to ensure that returns of passports and documents are made in a timely way. Record accurate customer biometric details on the database. Maintain files, paperwork and computer records for the UK visa and passport service, including spreadsheets on bookings and cancellations.

Accurate filing, accounting and bag packing

Complete cash accounts, banking and returns in a timely and accurate manner. Complete courier service including bagging, sending; receiving and records. Correctly print, pack, label and dispatch all applications, supporting documents, appeals paperwork and other documents to colleagues in Pretoria and the UK. Ensure procedures are correctly followed and all local visa & passport files are filed away on a daily basis; follow instructions for filing and disposal of documents.

Support to wider Embassy

Provide advice and assistance to embassy colleagues. Assist with correspondence; be flexible in undertaking any other tasks as appropriate to support the Visa Section. Assist with occasional DNA supervision for passport applications. Ensure UK Data Protection legislation and local security requirements are adhered to.

  • Experience working successfully in a high-pressure client service environment
  • Fluency in English and Arabic; written and spoken.
  • Excellent IT skills (a good working knowledge of Microsoft Office)
  • Excellent typing skills
  • Be able to complete tasks accurately, to an agreed standard and within set deadlines
  • Flexible and willing to support colleagues when they are under pressure
  • Be customer service orientated

The Visa Section is a very busy operational team, which takes in visa applications for processing at our regional hub in Pretoria.  The section is part of the wider Home Office Africa region. Our team takes a full part in the life of the British Embassy and the work of its many departments. Our Visa Section team is committed to providing a first class service, and balances the need for a high level of customer service with the maintenance of the integrity of the immigration control for the UK. This is a customer facing role and therefore requires good Arabic and English skills and a professional approach.

The section also accept applications for full validity British passports, which we send to the UK for processing. The same level of customer service and integrity as above is required.
