Main purpose of job:

To support the Outreach, Chevening and GREAT Campaign Officer in delivering the embassy’s public diplomacy and outreach strategy, which seeks to coordinate relationships and programmes in Bogota and beyond. This includes managing the Embassy’s central database of contacts, the list of programmes and other activity are happening outside Bogota, and supporting organisation for meetings, often working closely with the Political Counsellor and Press team.

The role also focus on supporting the Public Diplomacy and GREAT Campaign Officer and the Deputy Chevening Officer (when available) in implementing the administrative & financial tasks and on a minor scale the marketing strategy for Chevening scholarships, the UK’s flagship programme for foreign post-graduates studying in the UK.

Minimum time for internship 6 months, desirable 1 year.

Roles and responsibilities / what will the jobholder be expected to achieve?

  • Organise regular updates of the Embassy’s stakeholder database with sections, including in response to Queens Birthday Party invitations (working closely with the Press team).
  • Improve the functionality of stakeholder database (data base management).
  • Coordinate an up-to-date list of Embassy programmes, visits and other activities outside of Bogota (working closely with the Press Team in their role supporting the Embassy’s Programme Board.)
  • Support administrative tasks of ongoing Chevening selection activity as required (promotion, filing, reporting).
  • Supporting logistical requirements of ongoing Chevening Marketing, promotion and selection process, including virtual arrangements and events.
  • Keep adequate records and information management of Chevening Programme.
  • Keep record (both physical and digital) of the Team’s expenditures and Purchase Orders
  • Support a more active and widespread Chevening network by updating databases, organising meetings, booking venues and liaising with the Chevening and UK Alumni network.
  • Work with the Chevening Alumni Colombia association to administer thematic groups and their events.
  • Arrange the logistics and provision of services for Chevening and some Political Section events. (For instance, accommodation, transport, catering, audio-visual equipment, and special need requirements).
  • Keep records of suppliers, services and support financial management of Outreach and Chevening Programmes.
  • Responsible, creative, good communication and well organised and committed to the job.
  • Works well under pressure and against deadlines, able to deal effectively with stressful and difficult situations,
  • Good time management skills.
  • Excellent organisational skills; attention to detail; resilience – the ability to work under pressure; strong team player.
  • Currently enrolled in the last semesters of university degree in, International Relations and Government degrees, Business Administration, Services, Commerce, Social Communications or related fields (journalism, advertising, etc.).
  • Excellent communications skills, responsible and committed.
  • Available full-time and able to work sporadically on nights and weekends when events requires it.
  • Sociable, able to interact and collaborate with different teams.
  • Works well under pressure and against deadlines, able to deal effectively with stressful and difficult situations
  • Level of language required: fluent in both written and spoken Spanish (native) and English (minimum B2 certified with IELTS, TOEFL or equivalent). 
  • Interest in the UK.
  • Must have the legal status to live and work in Colombia. 
  • Excellent knowledge of MS Office (Excel, Access, Teams or related programmes)
  • Event management experience.
  • Knowledge of current affairs.
  • Knowledge of social media and virtual connectivity programmes.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
