Protocol, Visits and Events

Main purpose of job:

To provide support to the Head of Protocol in the delivery of efficient, effective and timely protocol services for the British High Commission Staff. Processing official documents, correspondence and liaison with the Ministry of Foreign Affairs, National Transport and Safety Authority, Kenya Revenue Authority, Kenya Airports Authority, other Embassies and High Commissions.

Roles and responsibilities:

·       Processing of Duty exemptions - PRO 1B forms for personal effects, vehicles and official goods.

·       Administration of BHC’s diplomatic TIMS Portal

·       Registration of Private and official vehicles

·       Obtaining duty calculations for official and private vehicles for departing officers

·       Processing vehicle disposal Forms PRO1C and liaising with agents for customs processing

·       Obtaining import permits for medical supplies

·       Obtaining permanent and temporary airport passes for entitled staff

·       Raising Purchase Orders through the online FCDO Finance system

·       Updating MFA diplomatic Corp’s directory

·       Maintaining upto date record of diplomatic staff on the Ministry of Foreign Affairs IPMIS Portal

·       Line Management of the Protocol driver

·       Updating Corporate Services Kenquiry through CS Helpdesk

·       Leave cover for the Team Leader

·       Cover for Protocol Assistants

Other Protocol Team Responsibilities:

·       Accreditation of UK Based staff with the Ministry of Foreign Affairs

·       Kenya Revenue Authority PIN applications

·       Processing applications for Diplomatic ID cards

·       Processing of local driving licenses

·       Processing of resident permits

·       Processing third country visas for official travel

.       VAT exemption applications

  • Experience in Protocol processes through government departments
  • Experience of delivering high quality customer service
  • Extensive experience of developing good working relationships with key stakeholders at all levels;
  • Excellent computer skills (Excellent working knowledge of Microsoft Excel, Word, MS Teams and Outlook);
  • Good communication skills, attention to detail and initiative.
  • A flexible approach and good team working skills

Members of staff are entitled to paid annual leave, which is earned, from the day they commence employment. Entitlements are as follows:

In addition to annual leave, the BHC normally observes no fewer than 9 and no more than 14 Kenyan and British public and religious holidays in a year. These vary from year to year and are at the discretion of the High Commissioner. A list of holidays is published each year.
