We are currently looking for a Residence Support Officer for the British Ambassador's Residence in Paris .

Reporting directly to the Residence Manager, the Residence Support Officer provides administrative support to all 4 Residence teams: pantry, kitchen, housekeeping and events, as well as to the Residence Manager.

The successful candidate will have a key role in ensuring that Residence events and visits run smoothly and efficiently.

Main tasks:

  • Assisting the Events' team as necessary with in the delivery of events – inviting guests, monitoring replies, drafting and printing menus, booking hostesses, writing place cards, and- on occasion - being present for larger functions to welcome guests.
  • Assisting the Events team with management of busy and often-changing Residence calendar, keeping events and houseguests Teams Excel spreadsheets up to date and communicating relevant information to team members daily. 
  • Assisting the Events team with updating and archiving of the Ambassador’s contacts, ensuring in particular that the details of HMA key contacts are accurate.
  • Preparing monthly Residence events and houseguest figures for verification by the Residence Manager.
  • Working with Residence Manager on events reconciliation, which includes payment of invoices, preparing the extras spreadsheets for the interim company, management of TOIL rosters and monthly account journals.
  • Under Residence Manager supervision and in collaboration with the accounts team, drafting invoices for PAG and Income Generating events.
  • Office administration: Management of the team’s computer records and files; coordinating feedback; dealing promptly with incoming/outgoing correspondence; supervision of office stationery.
  • Take responsibility for the houseguest programme. Liaise with Private Office, Security and Residence Team to make sure key stakeholders are aware of arrival and departure times and have all necessary information in good time. Keep a record of all houseguests in events’ database or Teams channel.
  • The successful candidate may be required to work flexibly on occasion in line with operational requirements also with other sections.
  • Excellent level of English and French is essential (both oral and written) C1 Level or equivalent*.
  • Outstanding interpersonal skills with the ability to deal with staff at all levels of seniority, with partners or suppliers.
  • Able to use judgement, manage time effectively under own direction and prioritise tasks.
  • Excellent organisational, time management and communication skills, as well as particular attention to detail.
  • Strong people skills and diplomacy.
  • Ability to forward plan and coordinate activity among a range of stakeholders.
  • Proficient in MS Office applications.

This is a full-time and permanent position of 35 hours per week.
