Main purpose of job:
Based in the British High Commission in Singapore (BHC), the post-holder’s immediate and primary role is to provide operational and administrative support to Invest Northern Ireland (INI) in the Asia Pacific territory. The post holder will report to INI’s Operations Director who is based in our Shanghai office in China.
Invest Northern Ireland (INI) has offices and in-market professionals in Singapore (covering Southeast Asia), Sydney (covering Australia and New Zealand), Tokyo (covering Japan), Beijing, Shanghai and Guangzhou (covering China).
The post holder will work with the Operations Director and with INI’s International Business Group Services (IBGS), which is located in Belfast, UK. The post holder will support our in-market professional teams in the APAC territory from an operational and administrative perspective.
The post-holder is expected to undertake travel, either within Asia Pacific, to the UK and also to other countries.
Roles and Responsibilities:
Delivery of Effective Operations – 70%
Efficient and timely reporting to the APAC Operations Director and Invest NI IBGS, including monthly financial returns, staff expense claim, approvals for travel, procurement, hospitality, membership and subscription for offices across APAC;
Resources Management – 20%
Organisational Support – 10%
Working patterns:
The job holder will work 37.5 hours/week generally within the normal working hours at BHC Singapore of 9:00-17:00, Monday to Friday. On some occasions the job holder will be asked to work flexibly within their hours to help deliver out of hours events. BHC Singapore supports and promotes flexible working as a crucial part of our inclusive offering.
The role holder will have the opportunity to agree with their manager a regular working pattern that suits their personal circumstances but will be required to flex to meet operational demands.
In addition to the duties which this job normally entails, you may from time to time be required to undertake additional or other duties as necessary to meet the needs of the High Commission, including playing a part in the corporate life of the mission and supporting any crisis response.
