The British Consulate General in Milan are part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a dynamic, customer focused, pro-active Full Time Corporate Services Assistant/Receptionist to support our fast moving Corporate Services Team.
Main Duties and Responsibilities:
- To be the first point of contact for the British Consulate General Milan for the public and visitors;
- Support the Security Team as the front office for general callers and visitors. Incoming mail scanning, parking permits, occasional liaison with host nation military;
- Filter Consular and Department for International Trade (DIT) callers and visitors, including the occasional VIP;
- Support Estates work with supplier liaison, arranging and supervising site visits and works both in the office and in the UK Based staff apartments, keeping a record of ongoing works for the office and Residences and support larger project works;
- General admin duties include preparation, despatch and receiving of the diplomatic bags, general post, stationery orders, filing;
- Raise requisitions and make credit card payments, check invoices in accordance with FCDO financial guidelines;
- Leading on transport related questions for UK Based staff e.g. diplomatic number plates in collaboration with Rome colleagues;
- Many aspects of the CSA role are shared with two other part-time CSAs so the ideal candidate will be expected to occasionally cover annual and sick leave, sometimes at short notice;
- Actively engage in corporate activities and initiatives in the Italy Network.
- Proficiency in English and Italian (written and spoken, minimum of C1 level for CEFR framework* or equivalent);
- IT literacy, familiar with MS package including Teams;
- Highly-developed front-line customer service management skills acquired in a business environment, with a clear commitment to excellent customer service;
- Ability to respond flexibly to changing priorities;
- Good sense of organisation and communication.
- Previous experience in working with high-level officials and or in international environments.
This is a full-time temporary position with a contract of 12 months graded Administrative Assistant (AA) according to the FCDO grading structure. The annual gross salary is € 26,698, with an additional payment of € 10.33 EDR paid 13 times per year (pro-rata). There are 14 salary payments in a calendar year, with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata.
Working hours are 35 hrs per week Monday to Friday 09.00 – 17.00.
The appointment is subject to security clearance, professional background check and the successful completion of a 4 months probationary period.
All staff employed by the British Consulate General Milan are subject to Italian income tax rate deductions (IRPEF). However the administration of these tax payments will vary depending on nationality.
The successful candidate will be enrolled in the Italian State Social Security Scheme. Staff recruited locally by the British Embassy in Rome are subject to terms and conditions of service according to local Italian employment law.
Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract.
