Main purpose of job:

As a Personal Assistant, you will provide a full range of secretarial and administrative support to the Deputy High Commissioner.

Roles and responsibilities 

Ensure the smooth functioning of the Deputy High Commissioner’s (DHC) office:

  • Organise and manage the DHC’s schedule and appointments.
  • Coordinate briefing and speaking points.
  • Coordinate DHC travel and transport in Bangalore.
  • Book tickets, organise accommodation, and manage the DHC’s agenda for travel outside Bangalore.
  • Work with sector teams on the effective deployment of the DHC in the delivery of their objectives.
  • Manage the DHC’s budget allocations for the year: Undertake monthly forecasting and track spend against forecasts.
  • Work closely with the Political Economy Adviser/Press and Comms team on DHC’s state government interactions and press/media events.
  • Drafting minutes of all-staff meetings.

Coordinate the annual Queen’s Birthday Party (UK national day event) in Bangalore:

  • Chair the QBP Committee.
  • Collate and maintain an effective QBP invitation database.
  • Act as the point person for QBP enquiries.

Manage the Bangalore Residence:

  • Maintain the DHC Residence ensuring it meets UK safety standards and is suitable for representational purposes.
  • Manage internal and external events at the DHC Residence.
  • Line-manage the DHC Residence housekeeper.

Champion Post Learning and Development:

  • Manage the Post’s L&D plan aligning it with business strategies and sector/individual developmental needs.
  • Manage the Post’s L&D budget.  Undertake monthly forecasting and track spend against forecasts.

Education: Graduate/Diploma holder in any discipline with at least 1 year of experience in a similar role.

Other skills

  • A confident self-starter, with proven energy and initiative in overcoming obstacles, and the ability to handle multiple tasks and prioritise with minimal supervision.
  • Willingness to learn and develop.
  • Works with attention to detail.
  • Good interpersonal skills; someone who can build a wide range of contacts and who can negotiate effectively, especially during interactions with senior leaders in Indian industry and government.
  • Excellent team working skills, with strong ability to build co-operative working relationships across a large network, both inside and  outside of the British High Commission.

Strong secretarial, event management, finance and general management skills are desirable.

For other than British High Commission candidates, Salary will be Rs. 37,285 per month together with a 12% provident fund and 6% Superannuation Fund.

The British Deputy High Commission in Bengaluru is an office of nearly 30 people with a focus of the BDHC is supporting UK trade and investment, but also covering science, innovation, climate change and a range of other bilateral issues.  We help deliver successful VIP visits, both of Indians to the UK and vice versa.  We do not issue UK visas for Indian (or other) passport holders or provide consular support to British nationals.
