Main purpose of job:

The position will require a practical, hands-on approach to ensure the smooth running, and efficient and cost effective operation of the British Embassy in Vientiane, and strong customer service skills and resilience. Training will be provided.

Roles and responsibilities / what will the jobholder be expected to achieve?:

Finance and Accounting:

  • To manage the Embassy account and ensure all financial payments (both cash and banking) are correctly recorded and accounted for in line with FCO guidance and local regulations.
  • To support Manila GTPC to prepare payments to staff and suppliers
  • To Coordinate with Local bank for any transaction issues.
  • To assist the CSM with budget allocations and forecasting and prepare all offline spreadsheets
  • To be fully familiar with financial policies of the FCO and   be able to make effective use of these tools to monitor financial information.

Administration:

  • Provide support to the CSM in other areas of corporate services (Office support, facility management, Security).
  • Supervise team to comply with security rule and regulation.
  • Associated administrative tasks, such as handling customs clearance of Diplomatic bags, visas, ID, driving licences, primarily for the UK-based members of staff and families.
  • Ensuring the office is well maintained and equipped.
  • To occasionally assist with visitors’ travel arrangements.
  • Support HR admin ( insurance and health check up for staff)
  • To support CSM to manage the impacts of COVID-19 with both local and UK preventative measures.
  • To perform all other duties and tasks as assigned by line manager.
  • To be back up for CSM.
  • To be back up for Reception and PA.

Working patterns: We may consider the successful applicant working from home for a day a week, but this decision will be made when probation is passed 

Note: The duration of this temporary position is 6 months.

  • At least 2 years experience in the corporate and/or financial services sector.
  • Strong office management, communication and interpersonal skills.
  • A degree in Financial Management or similar discipline.
  • Able to work and report to tight deadlines.
  • Agile and comfortable with managing and implementing.
  • Ability to work effectively as part of a small team
  • Good written and spoken English and Lao
  • Familiarity with ORACLE financial management systems.
