View Vacancy - Estates Officer (77/19 PTA) - FC
Main purpose of job:
This is an exciting job that offers the incumbant the opportunity to contribute to the wider Corporate Services (CS) objective specifically in the area of Estates. The job-holder plays a crucial role:
- One of the main focuses is customer service, ensuring that the estates team is providing a professional service to all clients
- Oversee the network estate, working closely with the Security and Technical Works teams to ensure the effective implementation of projects, reactive works, preventative maintenance, arrivals and departures, general estate procurement, furnishings, maintenance personnel.
Roles and responsibilities:
The below roles and responsibilities are general guidelines. They are not limited to the detail below and are subject to change from time to time with prior consultation.
- Line manager of (2) maintenance staff. Populate weekly schedules for the maintenance team ensuring that they have the correct tools etc for the duties that need to be carried out Ensure that an accurate, up to date and complete Inventory list is maintained of all British High Commission properties at all times. These duties include creating and/or updating the existing property files with standardised float/inventory pictures and lists, ensuring that inventory lists are signed and filed, updating Pyramid with changes.
- Estates administration duties. Duties include updating new arrivals and in-year moves on Pyramid, maintaining a fixed asset register for all properties, reconciling Government Procurement Cards in accordance to the required deadlines, update and maintaining property files.
- March in of new arrivals and March outs departures and/or in-year moves. These duties include march in procedures, checking/signing of inventories, preparing documents for the Estates Manager, contracting suppliers to ready the property, visual inspections, ensuring that all inventories are checked 2 weeks before staff departs and that any damaged goods or discrepancies are reported to the Estates Manager, etc.
- Prism – raising of requisitions and receipting of works once completed
- Action all maintenance requests on a daily basis, ensuring that all request are attended to in line with the Corporate Service Charter.
- Generator inspections. Duties will include maintaining the fixed asset registers, reporting, fuel and other checks.

- Conduct regular property visits and highlighting any concerns to the Estates Manager.
- Assist the Compliance Officer in ensuring that the Health and Safety requirements for residential properties are in order as per FCO Guidance.
- Providing cover for the Maintenance and Stores Officer during annual leave periods
Resources managed (staff and expenditure):
- Line Management of 2 Maintenance officers
- Experience in property management facilities management
- Valid Driver’s licence
- Administration Experience
- Computer Literate
- Language - Fluent English
- Line management experience

The British High Commission pays in full for the Key Care Plus option on Discovery Health for staff including spouses/partners and dependants
- Once you have successfully completed your probation the British High Commission will contribute 9% of your monthly salary to a Provident Fund
- Annual leave entitlement of 25 days
- Working hours per week of 36.5
