Main purpose of job

To assist the Corporate Services team at the British Consulate in Rio de Janeiro in providing support to Estates, Security and Transport, IT and HR departments to deliver a good level of service to internal and external clients. 

What will the jobholder be expected to achieve?

Provide general assistance to sector team, which includes:

  • Provide support at residential properties, accompanying suppliers when necessary
  • Contact local suppliers for service requests  
  • Register and send receipts for payment on time
  • Assistance in the organisation of events
  • Get in contact with local authorities
  • Gathering information in order to provide support to the Security Team
  • Updating databases
  • Researching for new suppliers, products or technical assistance of existing products  
  • Liaising with suppliers and contractors, quoting and organise maintenance works 
  • Escorting contractors and suppliers within the official properties
  • Updating inventory
  • Organising the transport booking 
  • Giving support to internal clients
  • Giving support with the update of the Customer Relation system Administrative Assistant/IT
  • Setting up IT equipments such as VTC and computers when required
  • Controlling and purchasing stationery
  • Booking hotel and flights
  • Keep sector charts, texts and presentations updated with accurate information
  • Ad hoc duties such as: photocopying, escorting visitors within the building, filing etc 

Essential on arrival:  

  • Have an education/degree ongoing, preferably in HR Management, Management Entrepreneurship, Administration, Information System and Psychology or similar
  • Excellent command of the English and Portuguese languages (written and spoken) 
  • Strong organisational / time management skills
  • Excellent communications skills, with all levels of staff, including internal and external customers
  • Proactive and enthusiastic - able to work well with teams and on their own.   

Desirable:

  • Previous, similar work experience working for a company or diplomatic mission
