The British Embassy in Poland is part of a worldwide network, representing British political, economic and consular interests overseas and is now looking to recruit a Local Liaison Assistant to National Crime Agency Post.

The ideal candidate should provide assistance to the Liaison Officer and Local Engaged Advisor in cooperating with Polish Authorities and administer the office accounts and logistics.  

Main responsibilities will include:

The jobholder will be supervised by the Local Liaison Advisor and will be expected to provide essential office support functions to enable the NCA team to operate lawfully and effectively, including:

  • Interpreting and translating, by using their command of business and technical Polish (as a fluent speaker);
  • Translation and/or drafting of letters and reports both in English and in Polish, in an accurate and timely manner;
  • Conducting office administration duties including accounting, maintaining electronic case records/records management, data entry and logistics regarding inbound and outbound office visits;
  • Researching relevant information from a wide range of sources, preparing and summarising information in an accurate and concise manner, and ensuring it addresses team requirements and priorities;
  • Assisting ILO/LLA with financial audit returns and office accounts;
  • Assisting with the daily running of the office, including:
  • Managing the ILO’s diary and arranging travel/accommodation;
  • Organising logistics for meetings, inward/outward visits and events;
  • Responding to general correspondence;
  • Stationary and other office equipment replenishment and vehicle management;
  • Ensuring security of own protectively marked material and station records that are protectively marked material up to Official-Sensitive level;
  • Ad hoc issues.
  • Fluent English and Polish  - C1 and above (both oral and written);
  • Strong interpersonal and communication skills;
  • Excellent organisational skills for document and record management and high attention to detail;
  • Constructive, positive and service orientated attitude;
  • Ability to identify and prioritise workloads where required;
  • Ability to follow standard operating procedures and written processes, working with minimal supervision, prioritising workloads when required;
  • Excellent IT skills and competent with Microsoft Office software;
  • Ability to respect the confidentiality of work issues and understanding the personal and professional consequences of lapses in security.

  • Experience in similar administrative roles or other previous relevant experience would be an advantage.

This role will initially be part-time (3 days) a week with a view to full time (5 days) pending review.

Whilst part-time these hours can be fixed at circa 4.5 hours a day over each day, or 22.5 hours over 3 days spread across the week i.e. Monday, Wednesday and Friday.

The gross salary for this position is PLN 3,049 gross per month for a one year fixed term contract with three months’ probation period. Working hours are flexible and staff are entitled to time-off-in-lieu for agreed extra hours worked. The annual leave entitlement is 20 or 26 days per year pro rata and the Embassy also enjoys a maximum of 14 Polish / UK public holidays per year.

Please note that staff members are responsible for paying any income tax required by the local law.

The successful candidate will be subject to the Polish references check, security clearance process and satisfactory completion of a probationary period of three months.

Candidates must have pre-existing right to live and work in Poland for the duration of the job offer in order to apply. The British Embassy does not sponsor work permits.

Staff recruited locally by the British Embassy in Warsaw are subject to Terms and Conditions of Service according to Polish employment law.

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Poland and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary after 31st December 2020.

Working patterns

We have a strong commitment to work/life balance. Regular office hours are 8:30 – 16:30 and staff are encouraged to leave on time, and the building is locked up at 6pm. Flexi-hours are also possible within the Embassy building’s opening hours (0800-1800). We have mobile technology and most staff in the team work from home one day a week, if possible.
