View Vacancy - Estates Officer (DNK594)
The British Embassy in Copenhagen is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Estates Officer.
The main purpose of the job is to manage the Residential property portfolio and to ensure the overall efficient and effective operations of Estates work. Work is to be executed in an unambiguous way in line with the guidance issued by the FCO.
In more detail, main responsibilities will include:
Management of Residential Properties
- Contract Management (tendering, supplier management etc.);
- Co-ordination of fault resolution for machinery/ equipment;
- Manage and monitor annual service contracts;
- Liaison with contractors regarding maintenance and repair work;
- Property search;
- Pyramid Property Database – maintain basic property data.
Finances and Procurement
- Ensuring budgets are managed effectively;
- Adhere to procurement process, ensuring quotes and invoices matched before payment;
- Identify and preparing business cases for Estates projects up to £10k. Provide input and support to larger scale Estates Projects.
Coordination of Health and Safety and Fire Safety management issues
- Co-ordinating the update of Embassy Fire Safety and Health and Safety instructions in line with FCO health and safety standards;
- Carrying out routine health and safety checks and maintaining documentary evidence of these checks;
Ensuring all stakeholders including contractors are aware of safety regulations.
- Excellent verbal and written communication skills in English and Danish;
- Good organisational skills and ability to prioritise a variety of tasks and conflicting deadlines;
- Experience in contract management;
- Previous team management experience;
- Customer centred focus; ability to manage expectations;
- Solution orientated - focussed on solutions and work arounds, not problems and obstacles;
- Computer Literate; Windows 10, Microsoft Office Suite, Property Databases.
- Budget management skills;
- Familiar with Health and Safety Regulations in Denmark and / or UK;
- Previous experience with building management or maintenance services.
This is a full-time permanent position, for 5 working days.
The successful candidate will be subject to professional background check and security clearance.
The successful candidate must have pre-existing work authorization for Denmark in order to apply.
