The British Embassy in Copenhagen is part of a world-wide network, representing British political & economic and consular interests overseas and is now looking for a Deputy Corporate Services Manager - Estates Manager.

The main purpose of this job is: management of the estate and maintenance team, including staff and contractors. Lead estates projects, operations and supplier management to ensure a safe and compliant platform for all staff; supervise project works, maintenance and the arrivals and departures process; responsible for health and safety policy and operations and deputise for CSM during periods of absence.

Main Duties and Responsibilities:

Estates Management

  • Lead and manage maintenance team, operations, supplier performance, contracts and maintenance activity;
  • Strong focus on excellent customer service, ensuring that the estates and maintenance team are providing a professional service in line with the post corporate services charter;
  • Proactive management of forward maintenance and relations with Estates team in London to ensure maintenance of estate is kept up to date and is properly resourced;
  • Monitor and forecast estates budgets and expenditure; 
  • Update local leadership team on estates matters, escalating as required;
  • Oversee local management of estates systems and data. Implement and manage the new property management system.

Governance

  • Plan, measure and monitor estates performance against set targets, preparing reports as required;
  • Ensure that a proactive risk management approach is taken to all work, ensuring compliance with UK and Danish standards;
  • Prepare and respond to any audit and assessment requests, ensure compliant record keeping;
  • With regional procurement hub, tender, manage and oversee all estates procurement and suppliers to ensure service level agreements are met.

Technical

  • Plan, manage and oversee estates projects, preventative and reactive maintenance using the forward maintenance register and working with the TWO and ESD;
  • Provide local technical expertise, escalating to Technical Works Officers where required.

Residential Accommodation

  • Liaise with leading Estate Agents to source rental properties for UK based officers’ residential accommodation that meet health and safety standards & Rental Policy norms and also to negotiate rentals, terms and conditions (with the approval of the Post Housing Committee);
  • Find new Estate Agents for the Officer and conduct due diligence checks before taking them on board in consultation with the Post Housing Committee;
  • Maintain good relationships with landlords of residential apartments to ensure a comfortable stay for UK based staff;
  • Assist Corporate Services Manager to implement recommendations / decisions by Post Housing Committee;
  • Manage and update details of owned/rented residential, Assets and office properties through Property management system software.

Compliance

  • Ensure estates procurement is effectively managed and compliant with global policy, working with the Procurement Hub and CSM;  
  • Manage inventory and warehouse stock;
  • Perform and document property inspections and hazard risk assessments for both residential and office estate;
  • Ensure estates systems and data are maintained and verified on a regular basis;
  • Prepare for and respond to audit requests;
  • Monitor energy and utilities consumption and implement sustainability initiatives at post.

Health & Safety

  • Maintain a safe, compliant and supportive working environment for all staff and diplomatic families;
  • Oversee health and safety activity, owning policy, guidance and monitoring standards;
  • Lead on sustainability plans to meet global targets.

Team Support

  • Support other members of the corporate services team as required;
  • Line Management of 2 Maintenance Officers;
  • Responsible for estates contingency plans and act as the coordinator in crisis situations.
  • Fluent level of English and Danish (C1 level, according to CEFR*);
  • At least 3 years’ experience in estates/facility role in a multi-national environment;
  • Management and leadership skills;
  • High customer service skills;
  • Experience in overseeing maintenance teams ;
  • Highly experienced with procurement processes;
  • Resilient and able to deal with pressure and work flexibility to deal with competing demands;
  • Good knowledge of the Danish rental market.
  • UK and Danish Health and safety knowledge;
  • Project management/ facility management certification or experience.
