HR

Main purpose of job:

As part of the post CS/HR team, the incumbent will be required to perform HR related role for British High Commission New Delhi.

Roles and responsibilities 

Payroll Management:

  • Coordinating with India Network posts for the monthly variable pay inputs.
  • Compiling payroll data including adjustments, amendments relating to overtime, unpaid leave, allowances and other changes necessary for accurate payroll calculation.
  • Seeking necessary approvals and sharing final payroll data with Pay and Benefits team before monthly deadline.
  • Electronic/physical filing of payroll related documents including approvals.
  • Timely distribution of salary slips, Salary Certificates, PF and SAF statements.

 

HR Induction, on-boarding and exit management:

  • Supporting Head of HR in organising quarterly Induction programme for new joiners.
  • Managing the logistical arrangement for induction set-up. Follow up with the stake holders on the induction day.
  • Reviewing and updating induction pack at least once every quarter.
  • Co-ordinate for security briefing of new staff on weekly basis.
  • Obtaining necessary approval from the post security team before the candidate joins and informs the relevant stakeholders.
  • Issuing appointment letter, collecting joining documents and put them in their personal files.
  • Sharing induction pack/link with the new joiners.
  • Collect and file the exits forms in the staff file.
  • Issue experience certificates to the staff.
  • Hand over Salary, loan and SAF/PF cheques to staff and exit staff for all posts in India.
  • Provide CS/HR clearance to Pay & Benefits team to process the Full & Final settlement of exited staff.

 

Security Vetting:

  • Coordinate with HR hub and outsourced agency for security vetting of staff and contractors.
  • Follow up with the agency for reports and recruited staff regarding any insufficiencies.
  • Share security vetting report/Police report, criminal declaration and ID proof to DPSO for additional checks and obtaining their approval to hire.
  • Send the approval to the recruitment officer/concern officer for joining and IT team for arranging access to IT system.
  • Co ordinate with Security Manager, contractors and staff to get the photo ID card issued.

Payment of invoices:

  • Process CS/HR related invoices for payment including payment through GPC card.
  • Raise PO requisition for CS/HR related contracts and payment of invoices.

 

Record Management:

  • Creating and maintaining personal files for New Delhi staff as per audit requirement.
  • Ensure any personal document is filed in respective staff file within 10 working days.
  • Maintain exited staff files as per audit guidance.
  • Ensure electronic records of all CS/HR related documents are maintained on HR shared area/cloud.

 Reward and recognition:

  • Coordinate with London for long service awards for staff.
  • Manage logistical arrangement for other staff awards like printing certificates, organising distribution certificates ceremony, gifts etc.

 

Employment related letters:

  • Issuing employment related letters to all staff at New Delhi post and sending letters for staff at other DHC across India for further distribution. Doing quality check of letters before issuing them.
  • Regular updating the tracker to record issuance of letters on time.

 Others responsibilities:

  • Providing administrative support to CSM and Head of HR.
  • Coordinate with other posts on HR related areas.
  • Signing authority with the local official bank.
  • Providing cover in the absence of line manager.
  • Address staff queries on medical insurance and distribute the health insurance cards to staff.
  • Managing logistical arrangements for any HR/CS events as and when required.
  • Perform any other CS/HR related role as directed by CSM or Head of HR.

Minimum 3-4 years of experience in HR.
