View Vacancy - Corporate Services Assistant (09/18 LIL)
Main purpose of job:
Responsible for all aspects of accounting and partly involved in human resource and finance at the British High Commission
Roles and responsibilities:
Reporting to the Deputy Corporate Services Manager, the post holder will perform but not restricted to the following duties and responsibilities
Finance and procurement
- Manage post cash box and monitoring of residual cash imprest and completing Network Post Account for CSM’s approval and Deputy Corporate Services Manager.
- Monitoring of official bank accounts ensuring a positive balance including arranging and preparing inter-account bank transfers.
- Manage the Global Transaction Processing Centre (GTPC) by ensuring timely submission of staff advances and their clearance, processing of debit memos for UK based staff and managing of weekly payment batch for both internal and external suppliers.
- To review and prepare distribution sets made by team.
- Managing and monitoring FPCI scores through monthly PRISM housekeeping including resolving invoice on hold, responding to queries from suppliers services; pressing for higher number of suppliers willing to accept GPC’S and/or electronic payments.
- Review and monitoring of post’s annual funding profile in conjunction with the finance hub.
- Ensure accurate Budgeting and Forecasting of the Transport budget.
- Preparation of corrective journals for any identified misposts in post’s overall budget.
- Ensuring expenditure for partners are charged back to the partners correctly.
Human resources
Perform residual HR functions including;
- Logistical support for recruitment e.g. post adverts locally, set up interview facilities, circulate relevant papers to the Board.
- Induction planning i.e. drafting programmes for new staff (incorporating input from the officer’s line manager) and prepare induction pack
- Maintain personal files, incorporating leave, absence records and appraisals, in accordance with FCO procedures.
- Ensure pension contribution schedules are submitted to the pension provider and coordinate pension payout for departed staff.
- Collate payroll data for DFID and FCO LE staff for submission to the pay and benefits team at the HR hub.
- At least 2 years’ experience of working in corporate services, or similar environment
- Human resources knowledge
- Recent evidenced financial management skills – use of Oracle or similar
- Good user knowledge of Microsoft Office packages (excel, word, outlook etc)
Language requirements:
Language: Chichewa and English
Level of language required: Fluent spoken for both, with English spoken and written in the office
- Experience of working in Embassy/High Commissions, international organisation or NGO;
- ACCA/ICAM Diploma
