The Executive Assistant (EA) to Her Majesty’s Ambassador plays a key coordinating role at the heart of the Embassy.  The EA provides strategic, organisational and logistical support to the Ambassador.  The successful applicant will work closely with the Section Heads and the wider Embassy, as well as with business, the Korean Government and the wider British community, to deliver UK objectives.

Roles and responsibilities:

  1. Deliver a daily programme and effective forward diary planning, to ensure that the Ambassador’s time is being effectively used to support UK objectives. Includes complicated diary Management and the coordination/organisation of programmes.                                                         
  2. Forecasting and management of HMA’s budget, with day-to-day management of the travel budget.       
  3. Responsibility for management of incoming and outgoing correspondence and invitations. Drafting replies, and allocating elsewhere as appropriate.                                                                      
  4. Organising Ambassador-hosted events at the Residence and elsewhere, in particular the annual Queen’s Birthday Party.                                                                                                                            
  5. Leading on broad Embassy-wide protocol issues including: logistical arrangements for VIP visits and liaison with the airport and police on high profile visits; coordinating the arrival of VIPs to the Embassy; acting as Honours Secretary.                                                                                                  
  6. Contributing to various other corporate initiatives and playing a full role in the event of a crisis as part of the wider Embassy team.                                                                                                            
  • Minimum 2 years’ experience of working in an office-based environment;
  • High level programme and diary management skills;
  • Excellent organisational skills and the ability to multi-task;
  • A self-starter, able to work independently with limited supervision;
  • High proficiency in drafting correspondence in English ;
  • Ability to engage with senior colleagues and high level external stakeholders with credibility;
  • Proficient in Microsoft Office.
  • Previous experience of working in an Embassy or within the office of a major international organisation;
  • Previous experience of working as an Executive Assistant to a senior official or executive.

Normal working hours are Monday to Friday, 09:00 – 17:15 (17:00 on Fridays).  However, occasional evening and weekend working may be required, for which time off in lieu is given.

The British Embassy takes L&D seriously and provides a range of L&D opportunities, from learning sets to speaker events, group learning to job shadowing opportunities, as well as an extensive suite of online learning materials. Where job-specific training is identified the British Embassy will provide access to appropriate courses.
