View Vacancy - MOD Clerical Assistant A2 (04/19 YAO)
Main purpose of job:
Defence Section Clerical Assistant, responsible for providing direct administration support to the Defence Section.
Roles and responsibilities:
- General administrative duties, such as, record of invitations for Defence Section events, hospitality register, filing, despatch of documents, reproduction, word processing and ensuring all Ministry of Defence (MOD) inventories are kept up-to-date
- Collate Defence Section drivers’ monthly administrative paperwork that will include, work tickets, record of driving hours, fuel accountability spreadsheet, leave register and record of vehicle maintenance
- Coordinate the travel for the Defence Section and their visitors, including, flights, hotels and allowances
- On authorisation, conduct Corporate Credit Card and cash purchases
- Compile the Defence Section end of month Payment Authorisation Pro-Forma , complete with receipts
- Book and co-ordinate all International English Language Testing System (IELTS) bookings for the Defence Section’s candidates ready for their subsequent attendance on UK based training courses
- Write letters of invitation for Defence Section guests
- Arrange, book and facilitate meetings
- Act as the point of contact between the Corporate Services Department and Defence Section
- Conduct additional administrative duties as directed by the Defence Section Head and Assistant Head
3+ years' experience in administrative or secretariat role.
High level of English and working French
Microsoft Office skills especially Excel and Word
