Main purpose of job:

Main purpose of job is to carry day to day admin/reception role and act as back up for various corporate services roles as per requirement

Roles and responsibilities / what will the jobholder be expected to achieve?:

Full Duties (80%)

  • Attending to the incoming and outgoing calls. This role include the active screening of calls prior to passing them to concerned officers
  • Support to all Embassy staff on all telephone enquiries, directory assistance and other related issues. Update staff arrivals/departures on telephone directory.
  • Despatching faxes. This role also includes checking that faxes are completed before passing on to officers (if incomplete, a request should be made for re-transmission). Checking the name and address on all mail received, keeping record in register and putting it to concerned officer’s dip.
  • To welcome visitor to the reception area, establish their identity and provide assistance.
  • Cheques despatching and recording.
  • Prism responsibility as goods receiver. Received invoices on Prism for payment to suppliers.
  • Maintain proper record of all staff medical claims (IP and OP) and liaise with Clinic and Insurance Company.
  • Draft and send correspondence (letters/emails) and log RSVPs as & when required.
  • Prepare log for sim and official mobiles phones issued to staff.
  • Maintain complete Corporate Services filing system, note verbals, transport, estates, events and TWG documents.

Back up Transaction Processing Finance ( 15% )

  • Private billing of utility ( telephone, fuel etc ) to the staff and PAGS
  • Back up PRISM housekeeping
  • Back up Requisitioner for CS department/Distribution Sets
  • Back up of Process supplier payment

Back up Human Resource (5%)

  • Logistic arrangement for local training
  • Coordination for any local translation.
  • Coordination with medical supplier and staff about flu vaccine.
  • Adhoc duties as assigned by line manger.

Language requirements:

Language: English

Level of language required: Fluent

Other skills / experience / qualifications:

Graduate, minimum 2 years office experience, MS Office skills including Word and Excel, and good verbal communication skills.

Previous work with multilateral development banks, donors, or UK government. Understanding of business environment or economics.

SALARY PACKAGE :

For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply.

For other than BHC candidates, salary will be PKR 63,684 per month
