BDS Corporate Services is responsible for managing the provision of support functions to enable British Defence Staff (BDS) US to undertake its mission of enhancing the UK-US defence and security relationships. It comprises of five functional areas; Information Services, Business Services, Finance, Performance Management & Governance and USA Support Group.

The USA Support Group (USA Sp Gp) is responsible for the administration of all defence personnel and their dependants posted to, or serving in, the USA. It is organised along four functional areas; In Country Support (Civ), In Country Support (Mil), Healthcare & Education, and Accommodation.

The USA Support Group are looking to recruit two part-time candidates on a fixed term basis, the end date is estimated for 30 March 2018.

Duties and Responsibilities:

Responsible for the data input of personal details on to various BDS/FCO controlled computer systems and for the coordination of all arrival and departure documentation for service personnel assigned in and out of the US.

Specifically:    

  • Coordination, recording and processing of Employment Authorisation Document (EAD) applications from Service dependants.
  • Process Visa renewals for Military staff and dependants in the US.
  • Process military and dependants passport applications.
  • Recording and processing all military births.
  • Maintain and update the BDSUS Oracle (Olli) database with personal information of US based military and civilian personnel as required.
  • Maintain the BDSUS Crisis Management database (SOTI) and liaise with FCO personnel for updates.
  • Distribute, collect and collate results of customer feedback survey for arrivals and departure of the US.
  • Process USA Support Group stationery requests.
  • Take on responsibilities as part of the Crisis Management Team (Welfare Team) as and when required.
  • Update the USA Support Group pages on the BDS website, ensuring all information is up to date and relevant.
  • Coordinate arrival and departure procedures for personnel and their families assigned to and from the USA in close liaison with the J1 team.
  • Maintain the arrival/departure forecast spreadsheet
  • Assist the USA Sp Gp with pay and allowances and other key documents for personnel and their families.
  • Perform other related duties and tasks as required and assigned.
  • Responsible for maintaining personnel information in accordance with Data Protection Act.
  • A minimum of 3 years relevant work experience in a related field.
  • Ability to work with databases and computer software.
  • Excellent oral and written communication skills as well as time management skills. 
  • Ability to multitask with strong organizational skills.
  • Ability to handle confidential employee issues/information and deal with employees in a friendly and sensitive manner.
  • Must be able to work independently as well as part of a team.
  • Proficient in all MS Office applications, specifically Word, Excel, and PowerPoint.

Under US State Department requirements, the Embassy may only employ, as non-diplomatic staff, persons who are US citizens, US Green Card holders or A or NATO visa holders with EAD cards*.
