Foreign, Commonwealth and Development Office (Operations and Corporate Services)

Main Purpose of Job:

Provide admin support to the Corporate Services section.

Roles and Responsibilities:

The priorities of the role will be to:

  • Provide admin support to the Corporate Services section. 
  • Provide cover for Estates and Protocol officers, during periods of leave and sickness
  • Human resources, including set up arrangements for new arrivals and departures, Support to the L&D champion, support HR manager preparing contracts, monitoring contract renewals
  • Medical services; Provide admin support for Country based staff Health Insurance and UK based staff ambulance services.  Provide support to the DCSM for managing local medical providers
  • Prepare monthly spend forecasts for L&D and Medical Insurance
  • Arrange accommodation for incoming visitors and new members of staff and manage the relationship with hotel providers
  • Support UK based staff set up bank accounts and follow up process
  • Support UK based staff / spouses with float, settling into post
  • Support procurement activity for the whole section
  • General admin duties
  • Working in similar roles (managing admin tasks, deadlines, delivering results to different stakeholders).
  • Basic IT knowledge (e.g. Microsoft).
  • Basic procurement knowledge.
  • Advanced Spanish/English skills
  • Stock Management

The successful candidate must be eligible to work and live in Venezuela. Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount. Appointable candidates who were unsuccessful may be placed on a ‘reserve list’.  If during the reserve period of 6-12 months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.
