Main purpose of job:


The British Embassy’s Foreign and Security Policy Group (FSPG) is looking for a dynamic and capable Projects Coordinator and Support Officer to work as part of the team providing cross-cutting administrative support. The job holder will administer British Government-funded projects in the US covering a range of security, proliferation and human rights issues.  In this role, you will contribute to the delivery of core UK objectives, including by working closely with colleagues to deliver well-designed programmes for visiting British officials involving a range of Washington-based contacts, and by helping the team to build its network in Washington through the delivery of targeted events.


 


Roles and responsibilities:

 


Projects Coordination (30%)


  • Manage annual project cycle from concept stage to the bidding process and through to completion



  • Liaising with policy leads in the Embassy and in the UK  

  • Manage day to day contact with implementers

  • Ensure implementers understand and follow project management processes. 

  • Administer project spending using Oracle-based database. 

  • Track project spending, flagging up potential under spend and over spend.

  • Track project activities, flagging up delays or changes to plans.

  • Request and analyse quarterly and completion reports from project implementers

Support Officer (70%)


  • Liaise closely with FSPG policy leads on visitor programmes, managing logistical arrangements and ensuring well-targeted programmes. 

  • Plan and deliver events in support of wider FSPG objectives, including securing venues, organizing catering, managing guest lists and providing on-site support.

  • Provide cross-cutting support across full range of administrative tasks to facilitate smooth running of the Group

  • Undertake additional support and policy research work, supporting Foreign Policy leads.

  • Provide surge support to PA/FSPG Counsellor when required


     

     

    Essential on arrival: A minimum of 2 years substantive experience in relevant positions; A university degree; Proven ability to handle budgets and financial data; Proficient user of Microsoft Office, including Word and Excel.


    Desirable: Project management experience desirable but training will be provided.
