The UK’s France Network is part of a world-wide network, representing British political, economic and consular interests overseas with offices in Paris, Lyon, Bordeaux and Marseilles and representation to international organisations in Paris (OECD and UNESCO) and Strasbourg (CoE). The UK Delegation to the Council of Europe in Strasbourg is currently looking for an Operational Services Officer.

This is a new and important coordination and services role in the UK Delegation and the successful candidate will be expected to bring a flexible and positive attitude to the job. The friendly and professional Delegation team environment offers an excellent atmosphere to flourish and for the candidate to thoroughly enjoy the role while exploring opportunities for learning and development.

Given the role is new, it may evolve over time, depending on the candidate’s abilities, experience and willingness to broaden the range of their experience. For example, this could involve taking on a logistical role in connection with the UK’s preparations for a Council of Europe Summit in 2019, if one is established.

 

Main Duties and Responsibilities:

  • Coordination and preparation for UK Delegation events and providing assistance during events;
  • Residence functions – coordination and liaison with contractors and the Paris team, to ensure the FCO Estate is in good order and that the UK Delegation team are able to make best use of it to further UK interests;
  • Coordinating the use of the Residence, including by visitors and ensuring it is prepared in advance;
  • Commissioning and monitoring work orders for Intervserve contract work, including through the identification of health and safety issues which require attention;
  • Assisting with diplomatic bags, mail and courier services;
  • Assisting the Paris team in locating residential properties;
  • Coordinating with colleagues on the maintenance of regular inventories (silverware and Government Art Collection);
  • As necessary, assistance to staff with French bureaucracy and Protocol procedures;
  • Arranging payment by government procurement card of any caterers bills or other ad hoc purchases (and accounting for these on the FCO online system);
  • Assistance with daily security issues (outside of the confidential zone);
  • Occasional driving, including organising basic vehicle maintenance, record-keeping and security;
  • Occasional cover for core elements of the Executive PA role.

 

 

 

  • Fluent English and French, both oral and spoken;
  • Experience/knowledge of other administrative duties;
  • Familiarity with IT tools such as Microsoft Word, Excel and Outlook;
  • A full clean driving licence.
  • Knowledge of the Council of Europe and/or working in a Delegation or Embassy.
