View Vacancy - MNL - Newton Programme Support Officer
This is an exciting opportunity to work within the UK’s Newton Fund, known as the Newton Agham Programme in the Philippines. The Newton Agham Programme aims to build strong, sustainable and systemic relationships between the UK and Philippines through supporting excellent scientific talent, joint research and innovation. Activities are focused on promoting economic development and social welfare while addressing themes in development challenges such as health, environmental resilience, agriculture, ICT, innovation and creativity.
Main Purpose of the Job
The Newton Programme Support Officer, shall assist the Research & Innovation Programme Manager with the delivery of the Newton Agham programme, day to day administrative tasks, collection of data, management of the programme activities, management of event logistics and responding to external enquiries.
Programme management (or supporting programme management)
- With the programme manager’s guidance manage the implementation of a broad range of activities under the Newton Agham programme (mobility grants, research grants, and the Leaders in Innovation Programme, among others)
- Maintaining engagement and good relationships with both UK and Filipino Delivery Partners, supporting and facilitating programme implementation with guidance from the programme manager
Communications
- Support the development and implementation of a communication strategy and plan
- Answering enquiries, especially when Programme Manager is out of the office
- Ensuring open calls are monitored and promoted, as there are many different open calls at various times throughout the year
- Organize material (flyers, one-pagers, infographics, press releases etc) for comms purposes/distribution
- Liaise with British Embassy Manila comms team for events and major promotions.
- Manage database of enquiries and FAQs
- Manage database of contacts (funders, applicants, distribution lists, etc)
Monitoring
- Preliminary search of data and information, for analysis papers and reporting by Programme Manager
- With the programme manager’s guidance manage the ongoing monitoring of the Fund’s programme activities including gathering examples of impact, identifying and drafting case studies
Administrative tasks (office-based tasks, as PM is always out of the office)
- Arranging for logistics (transportation, travel itinerary, booking of flights/trains/hotels, event venue, etc)
- Liaising with British Embassy colleagues in general
- Setting up of meetings, conference calls and video calls
- Preparation for meetings (printed material, presentations, etc)
- Taking notes and writing these up after major conference calls/discussions, for record
- Keeping track of action points
- Processing and recording of financial tasks
- Support with financial and highlight reporting
Events planning
- Management of events, as an office-based person (preparing invitations, sending invitations, managing guest lists and RSVPs)
- Secretariat and second-person during Newton Agham events
- Written and spoken English
- Ability to complete day to day administrative tasks
- Experience in using Microsoft Word, Excel, PowerPoint, and Outlook for calendars and diary planning
- Experience in organising events, travel logistics and meetings
- Ability to do simple analysis of information
- Experience/knowledge of working in a research environment
- Experience/knowledge of working with governmental agencies
- Requires minimum supervision
The British Embassy offers a competitive compensation package, 36-hour work week, guaranteed 13th and 14th month pay, 20 days paid annual leave (calculated on a pro-rata basis if the service period is less than one full year), extensive medical insurance, life insurance and access to a guaranteed 5 days of learning opportunities a year.
