The British Embassy in Yerevan is part of a worldwide network, representing British political, economic and consular interests overseas and is currently looking for a Project Support Assistant.

The main purpose of the job is to support British Embassy Yerevan with the effective administration of projects under FCO bilateral funding programmes.

The Job holder will assist the British Embassy Programme team with project-related administrative tasks to support the delivery of FCO funded projects in a cohesive and accurate manner.

Roles and responsibilities:

Project Administration

  • Support the delivery of British Embassy Yerevan managed projects, including coordination with project implementers, maintaining filing and ensuring archiving of project documentation.
  • Prepare paperwork for project boards and keeping records of decisions;
  • Assist with appropriate storage of project materials and update Embassy SharePoint site;
  • Acknowledge correspondence from stakeholders;
  • Gather and collate media coverage associated with projects;
  • Travel within and outside Armenia on programme-related business.

Project Finances

  • Assist with online requisitioning and receiving;  run and format monthly project expenditure reports distribute for project managers;
  • Processing Invoices in timely manner
  • Assist with project related procurement issues;
  • Calculate advances for visitors, ensure that expenditure is correctly accounted for and correctly charged.

Visits and Events 

  • Provide logistical support to project activities and events, including working with events providers, speakers, preparing guest lists, sending out invitations to events and collating replies;
  • Assist in the administration of all inward and outward visits related to programme work;
  • Organising airline tickets and hotel accommodation for project sponsored visits, and local transport where needed;
  • Arranging appointments and communicating with contacts;
  • Help with publicity and communications around key events in conjunction with the Communications Coordinator;
  • Liaison with security and catering for in-house events and meetings and setting up rooms;
  • Support with organizing the events and visits by Her Majesty’s Ambassador and Embassy colleagues to projects, including: occasional interpreting, translation of documents, banners, booking venues, ensuring venues are set up on time;
  • Provide assistance to the FCO team as required.

 

  • Minimum 2 year work experience in an office environment;
  • Effective communication skills, including written and spoken fluency in English and Armenian languages and ability to adapt communication style
    to different situations;
  • Strong budgetary skills including invoicing and receipting;
  • Ability to work independently and within the team;
  • Good IT skills, proficiency in using MS Office applications;
  • Excellent organisational and interpersonal skills;
  • Knowledge of Russian desirable;
  • Experience using an online accounting system (Oracle based system);
  • Willingness and desire for continual learning and development.
