The British Embassy Tel Aviv has an exciting opportunity for a highly motivated individual to support the Corporate Services Team as an Estates and Procurement Officer, job grade Administrative Officer (AO).

The successful candidate will be a key player in the Estates team and will provide administrative and physical support as part of the Estates team within the wider Corporate Services (CS) team. The job holder will be expected to be able to work both independently and as part of a team.

The successful candidate will work in a dynamic environment with changing priorities to help the Estates team deliver their objectives. The job holder will need to have a ‘can do’ approach and to work at pace.

The main duties and responsibilities for this role include:

Procurement:

  • Manage and procure white goods and furniture for the Embassy & residential properties;
  • Manage our stock of furniture – both buying new as needed and managing the off-site storage;
  • Manage machinery & toners purchases for the Embassy;
  • Back up for IT purchases;
  • Assist with the full procurement processes – from tender through to payment.

 Estates:

  • Support the Estates Manager in managing & processing rent and va’ad payments;
  • Escorting at properties, inc on behalf of security;
  • Logging and first response of Maintenance Register;
  • Manage the float – inventory, distribution of goods and customer requirements;
  • Maintaining the Estates software records;
  • Processing Estates procurement and payment requests on the finance system and back up for the wider Corporate Services team;
  • General Estates support as needed;
  • Managing the reception – switchboard & post;
  • Backup for managing the Embassy’s general mailbox.

 Resources managed (staff and expenditure):

  • Line management of two cleaners & one ad hoc staff member. 

The above list is not exhaustive and the jobholder will be required to be flexible and take on other ad hoc tasks as required, including participating in the Embassy’s emergency planning and any other response to a crisis affecting UK Citizens.

Eligibility:

If you are selected for this position, we will be able to employ you as long as you:

  • Receive the appropriate level of security clearance; and
  • Are able to work legally in Israel.

Working hours and remuneration: 

The Embassy aims to offer an attractive working environment and remuneration package for this role, including the non-negotiable salary of NIS 10,300 per month plus social benefits: pension employer contribution 7.5% and Keren Hishtalmut employer contribution 7.5%. 

No accommodation or relocation expenses are payable in connection with this position. Parking facilities are not provided nor paid for by the Embassy.

This position is for a full-time employment, on a permanent contract basis. The successful candidate will be on a four (4) month probationary period. 

Working hours is 37.5 per week. Normal working hours are Monday to Thursday 8:00-16:00 and Friday 8:00-13:30. 

The jobholder will be required to be flexible in their approach to hours worked as these will be dictated by operational needs and may involve working outside of normal office hours. Any flexible working patterns (such as combination of office and remote working) may be considered based on operational requirements and agreement with the line manager, and in line with FCDO and Embassy policies.
