MAIN PURPOSE OF JOB

The job holder will be responsible for managing the official residence and estate management at Hyderabad in line with FCO Health and Safety Policy Standards and all relevant Maintenance Standards. The incumbent should be able to manage a team of 3 members.

ROLES AND RESPONSIBILITIES 

Residence & Resource Management

  • Ensure successful day-to-day operation of the BDHC’s Hyderabad’s Official Residence in line with the FCO Health and Safety Policy (HSP’s) liaising with the India Network Technical Works Group on works to be carried out.
  • First point of contact for all works on the estate.
  • Obtain quotations for works, and coordinate with vendors over all mechanical, electrical and building works undertaken on the estate.
  • Manage the residence staff including Security Guards and Personal Driver.
  • Collate and arrange payment of Water bills and Phone/internet bills.
  • Monitor all works and operations on the estate to ensure that the work is carried out to FCO Guidelines and Health and Safety Policies.
  • Maintain an inventory of domestic equipments furniture and fittings.
  • Maintain an inventory and stocks of household materials,food,drinks, cleaning materials for official use.
  • Work as part of the management team and provide advice support to the CSM  where necessary on estate related issues.

Events Management

  • Working closely with other departments in the Mission to maximise the use of residence for events in a safe manner and in accordance with FCO Health and Safety Policy.
  • Coordinate with residence staff for official events and Line Managing residence staff.

Estates Management

  • Co-ordinate for maintenance  work  in  office.
  • Co-ordinate with vendors to place business and ID cards, stationery and pay utilities bills for office. 

Government Procurement card

  • Continuously review operations to identify better ways of working to secure best value for money and resource savings.
  • Ensure compliance with FCO finance and procurement policy.
  • Ensure that Government Procurement cards are used for purchases up to £1,500.

The task of Estates Officer is that he/she will be the First point of contact for all residence related works and co-ordinated for events. The successful candidate will be given appropriate training and guidance on the job/deliverables expected.

The successful candidate will be a confident, well organised self-starter. He/she will work closely with the entire mission as a member of the Corporate Services Team.

  • A confident self-starter, with proven energy and initiative in overcoming obstacles, and the ability to handle multiple tasks and prioritise with minimal supervision.
  • Some background in estates or hospitality would be useful, but more important is a willingness to learn and develop.
  • Good interpersonal skills; someone who can build contacts and can negotiate effectively.
  • Excellent team working skills, with strong ability.
  • An innovator who can find creative solutions and identify new more efficient ways of working.

Customer service/ Hospitality background with a sustained record of strong   service delivery.

SALARY PACKAGE

Length of Contract : 2 Years

For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply. For other than British High Commission candidates, Salary will be Rs. 34684 per month together with a 12% provident fund and 6% Special Allowance.
