Main purpose of job:

Registry: to maintain the Registry offices, ensure visa application forms are stored against the best practice guidance. Undertake projects as and when required.


Roles and responsibilities / what will the jobholder be expected to achieve?:

The successful candidate will be required to manage and maintain the storing of visa applications in the registry office. This involves ensuring that paperwork is filed accurately and that destruction of files is carried out in accordance with UKVI best practice instructions.

  1. To assist in locating files requested within the Visa Section on a regular basis, including checking Outlook for requests and using Proviso to update the movement of files.
  2. To regularly perform the function of shredding and destroying applications by sorting files, shredding documents and re-allocating space to new files on a daily basis as directed by the Line Manager or ECM team, this will include monitoring storage levels and the flow of files into and out of the Registry.
  3. To accurately file all issued and refused visa applications on a daily basis, this will include linking supplementary documents which have been received through the post.
  4. To record all activities performed and report directly to your line manager on the status of registry.
  5. To provide adhoc assistance to the Visa Section Management team regarding all extra duties which would fall within the Registry Team remit, this will also include assisting fellow registry team members with additional duties or high workloads.
  6. To liaise with suppliers/contractors managing the collection and shredding of visa applications no longer needed



Workflow:

Making sure that papers, files, visa applications and other documents move swiftly around the office, including researching, retrieving

Registry: to maintain and ensure visa application forms are stored against the best practice guidance

To file and retrieve application form and supporting/correspondence linked to the application as requested.

To move applications and correspondence around the section as required.

To move applications and correspondence around the section as required.

To provide managers with details of work outstanding in the section as required

Other tasks:

To perform other ad-hoc clerical duties including new and developing operating procedures in line with A1 duties

  • IT skills, MS Office (Word, Excel and Outlook) proficient
  • Numeracy
