Main purpose of job:

To support the planning and delivery of UK in JAPAN 2019-20, the British government’s largest public diplomacy campaign in Japan which began at the start of the Rugby World Cup 2019 and will run to the 2020 Olympics and Paralmypics.  Working to the Head of Events, with Japan Network teams and partners in Japan and the UK, to support the development of content, communications, evaluation and execution of our large programme of events.

Roles and responsibilities / what will the jobholder be expected to achieve?:

The jobholder will work in coordination with the Head of Events to support planning and delivery of public diplomacy activations during the the campaign year and support the post-hoc evaluation process.  They will work closely with a range of stakeholders, both internal and external to the Embassy to manage many core project strands.

Specifically the jobholder will: 

  • Work with internal Japan Network teams to effectively plan and deliver major events. Liaise with campaign sponsors to ensure their partnership rights are being met through activity and engagement in the programme. Coordinate delivery plans with cross-HMG stakeholders and maintain regular communication updates when necessary. They will also play an important role in liaising with the British Olympic Association and Paralympic Association as necessary to ensure opportunities for collaboration in terms of events and communications are planned in advance and realised.
  • Play a leading role in developing the publicity and communications plan for events and development of campaign content, working closely with the Media, Communications and Marketing section of the Embassy, as well as DIT London, British Council and other key HMG stakeholders. 
  • Play a leading role in local contractor management for the delivery of the events, working closely with the appointed event production agency, affiliate suppliers and local stakeholders. They will be responsible for logistical coordination to ensure smooth delivery of the operational aspects of the events, including close communication with our internal teams and any other parties involved.
  • Support the analysis of campaign activity through strategic evaluation methods, working closely with Japan Network teams, British Council and HMG Department experts. Help to process evaluation data, implement continual changes through lessons learned and support the production of an overall campaign evaluation report.
  • Act as secretariat to the monthly UK in JAPAN 2019-20 Project Board to deliver internal coordination, information sharing of wider campaign updates and maintain overall knowledge of project developments.
  • Maintain flexibility to take on evolving tasks and challenges, including some administrative support at key moments and delivery of visit programmes during planning and execution stages of the project.

Learning and development opportunities (and any specific training courses to be completed):

Alongside a number of Embassy-specific courses that will need to be completed on arrival, the Embassy is supportive of learning and development. We offer five development days per year, and regular opportunities for learning and development delivered both within the mission and regionally in Asia. We also focus on using coaching and a buddying system to support new arrivals.

All staff are required to take a role in the embassy’s crisis preparation and response. Full training will be provided for this and regular opportunities will be available to test and develop your skills.



*This role will be offered pending successful reference and security checks, and is subject to the appropriate permissions to work. If the successful candidate requires a visa to work in Japan, the Embassy will support that application.

**This is a fixed-term position until 31 October 2020 with a possibility of further extension subject to project completion requirements.


  • Fluent or business Japanese language skills (JLPT level 1 or equivalent).
  • Fluent or business level English (IELTS band 7 or TOEIC 875 points or above or equivalent), with experience of working in an English speaking environment.
  • At least 2 years of events management experience
  • PR, Marketing and Communications experience
  • Contractor and stakeholder management experience
  • Resilience to work under pressure over an extended period
  • Good interpersonal and organisational skills to conduct duties effectively
  • Experience of working in English and Japanese speaking environments
  • Flexible, dependable, enthusiastic and customer focused and enjoy taking on challenging responsibilities
  • Professional Project Management qualification
  • Experience of managing staff
