Main purpose of job:

 

The Department for International Trade (DIT) in Latin America and the Caribbean (LATAC) is looking for a full-time Executive Assistant to work for the Deputy Trade Commissioner, based in the British Embassy, Mexico City.

 

This is an exciting opportunity for an experienced candidate to work in a fast-paced fascinating environment in an important central role. The position reports directly to the Deputy Trade Commissioner, providing a range of executive support.

 

The role will suit a team player who is open to new ideas and ways of working, is capable of working with constantly changing priorities and managing a full workload. Experience of working in secretarial duties and/or administration is essential and experience in events management is desirable.



Roles and responsibilities / what will the jobholder be expected to achieve?:


 


  • Executive Support – Provide administrative support for the Deputy Trade Commissioner, working with wider teams to ensure he can discharge his role effectively.

 


  • Diary Management – Receive internal/external meeting requests and schedule – providing clear advice on priorities, flagging deadlines, providing/chasing updates as required.

 


  • Secretariat – Providing a secretariat function for the DIT LATAC Operations Forum, which is a monthly continent-wide virtual meeting of senior and middle managers to monitor and progress financial, performance, marketing and people matters across the organisation. This includes: circulating a forward look of dates, the agenda and papers, producing minutes and maintaining an action log.

 


  • Operations – You will work as part of a seven person operations team, based around Latin America and the Caribbean, which includes finance, staff engagement, strategic projects and administrative support. As part of this team, you will be expected to provide ad hoc support to colleagues at busy times, as they will be expected to support you to deliver the team’s objectives together. In Mexico this will include working closely with the Executive Assistant

The job holder should be quick, precise and discreet. They should be a good planner and be able to juggle competing demands, switch between different functions and be comfortable working at speed with a lot of different customers. They should also be a friendly and approachable face to senior outsiders and to staff. They need to be keen to be part of a culture of excellence, respect and working together.



Essential on arrival:

 

  • University degree in Secretarial Sciences or Business Administration, and/or previous experience of EA, PA or administrative work;
  • An excellent standard of written and spoken English and Spanish;
  • Excellent computer keyboard skills, including familiarity with the MS Office suite of programs;
  • The ability to work quickly and reliably and to deliver at pace with limited supervision;
  • Excellent self-management and organisational skills;
  • Excellent team work and interpersonal skills;
  • Ability to work in a high pressure, high workload environment;
  • Flexible and positive approach to working in a forward thinking, modern and motivated organisation.

  • The British Embassy in Mexico City offers an attractive working environment and a monthly remuneration package for this role of $19,320 (MXN).
  • Core office hours are Monday – Thursday 8:00 – 16:30, Friday 8:00 – 14:00.
  • The job holder will need to be prepared to work occasionally outside normal working hours.

Candidates must be able to live and work in Mexico within their own right. The successful candidate will be subject to a security clearance and professional reference check.
