Finance

This is an enjoyable and challenging 7 months maternity leave cover opportunity in the Corporate Services team. You will work closely with different sections teams at Post, providing support in financial and HR activities.

You will need to be a self-starter, comfortable with decision-making and able to react quickly to events.

HUMAN RESOURCES

  • Under CSM supervision and in liaison with the HR Hub in Mexico, to assist in HR related matters and HR processes (recruitment), communication of Office Notices, etc.

  • Prepare salary and pensions’ monthly payment. Liaise with payroll supplier.

  • Assist CSM in all legal matters: frequent contact with HLA for advice, update on ongoing cases to report back to Hub, etc.

  • Assist CSM in all relevant and mandatory local HR and H&S training across the post.

UK-based services

  • In conjunction with CSM, to supervise UK Staff arrivals and departures.

Resource Accounting and Budgeting


  • Under supervision of CSM, to manage Post account.

  • Monitor local budget by using the corporate system.

  • In liaison with Finance Hub in Mexico, to ensure cash flow needs for the operation of Post

  • Completion of end of month accounts processes.                        

  • Imprest replenishment for all Sections.

  • Assist CSM in all financial returns to London, Hub, etc.

  • Responsible of weekly pay run using HSBC PC banking facility.

  • Dealing with the Embassy local bank  

Procurement 

  • Monitor Procurement dashboards: purchase orders’ housekeeping, invoices on hold, etc.

  • Monitor global procurement cards’ transactions’ approval at Post.

  • Ensure that financial and procurement transactions are processed and dealt with within the SLA’s as set out by the GTPC (Global Transaction Processing Hub UK), CPG (Corporate Procurement Group) and Regional Finance and Procurement Hubs in Mexico.

Estates: 

  • Assist CSM in ensuring full compliance with scheduled maintenance programme for both rented and owned properties, monitoring Estates expenditure and assistance on project work.

Essential on Arrival: Budget management experience. Good command of MS Office package. Familiarization of FCO financial and procurement policies to ensure a soft and quirk start up.

Standard working time is 35 hours per week: Monday to Thursday 0900-1730 with 1 hour for lunch; Fridays 0900 – 1400.
