Main purpose of job:

The British Government’s Embassy in Washington has an exciting opportunity for a driven and detail oriented person to join the Regional Corporate Services Hub as Senior Pay & Benefits Officer.

In this role you would be working in a diverse international environment to supporting country based staff employed in the British Government’s network of Embassies and Consulates across the entire Americas region.  The ideal candidate will be a team player, have strong attention to detail and deadline focused with some experience in payroll processing or working in a shared services environment.

The Senior Regional Pay and Benefits Officer is responsible for leading payroll processing and reporting, reporting to the Deputy Head of the HR Hub (Pay & Benefits). The role supports the Deputy Head on benefits and compensation related work for local staff at posts in the Americas, Caribbean and Overseas Territories.

Roles and responsibilities:

Bi-weekly/Semi-monthly Payroll Processing and Financial Reporting

  • Process bi-weekly US and semi-monthly Canada payroll in line with FCO policies and legal requirements of each individual Post.
  • Coordinate the timely completion of pay changes and ADP system updates for US and Canada in collaboration with the regional HR and Finance teams as well as Corporate Services Managers.
  • Collaborate with the US Network and Canada HR and Finance leads to coordinate accurate and timely processing of special runs and financial reports for London.
  • Advise Corporate Services Managers on the resolution of day-to-day payroll anomalies such as overpayments, issuing recovery letters, accessing/updating employee information on ADP etc.
  • Liaise with ADP US and Canada leads on the creation and implementation of payroll-related policies and system upgrades to ensure accurate payroll processing.
  • Advise, oversee and cross-train other team members on the bi-weekly auditing of ADP and payroll documentation to ensure employee information is up-to-date.
  • Act as the lead internal auditor and train team members on developing and maintaining payroll and financial reports including but not limited to auditing Shared Drive folders and payroll invoices for US and Canada and Partners Across Government (PAGs).
  • Under the guidance of the Deputy Head, collaborate with the US Network and Canada HR teams on the completion and processing of special large-scale reporting/projects such as annual tax reporting and net abatement exercises as needed.
  • Ensure Service Level Agreements are met with regards to response times to queries and other actions.

Regional Compensation Analysis and Reporting

  • Provide support on regional pay and compensation analysis and comparisons by collecting and compiling information through various internal and external sources.
  • Provide first-level support to on special pay, benefits and compensation related projects for London and Regional Posts as needed.
  • Any other duties as assigned.

Essential on arrival:

  • Experience working in payroll processing or a shared services environment
  • Proven experience of delivering to deadlines and agreed timescales as part of a team
  • Ability to handle confidential employee information/issues
  • Ability to multitask, strong organisational skills and flexibility to adapt and change priorities quickly
  • Proficient in all MS Office applications, specifically Excel.
