The British Embassies in Abu Dhabi and Dubai have a vacancy for a Corporate Services Assistant, Human Resources, on a fixed term contract of three (3) years.

This role concentrates on support for the Embassy’s Corporate Services work, and the jobholder will handle the daily administrative human resources duties for our organisation. They will assist in complete record maintenance and provide administrative support to the UAE HR Manager and UAE HR Officer. The jobholder is also expected to work closely with a wide spectrum of other departments both within the Embassy and externally across government.

Whilst the role may be based in either Abu Dhabi or Dubai, the jobholder may be required to visit the Embassy in the other Emirate, subject to COVID-19 restrictions and to operational needs.


Duties and responsibilities:

  • Manage the full administrative support to the UAE HR Team and Director/ Deputy Director of Corporate Services.
  • Maintenance of HR databases and filing system in compliance with GDPR for Country Based Staff (CBS).
  • Ownership of maintaining the CBS arrivals and departures automated trackers and processing of on boarding and off boarding. Work collectively with the Middle East and North Africa (MENA) Regional HR Hub, Post Security Team, and Government Relations Team for on boarding and off boarding staff.
  • Addition/ Deletion of local medical insurance entries in line with SLAs.
  • Support UAE HR Officer in arranging Embassy-wide inductions across both Posts for new joiners. Deliver pre-prepared UAE HR induction segment to new starters.
  • Respond to and organise enquires received through telephone or inbox. Log to ensure enquires are appropriately handled according to their urgency and subject matter within relevant service level agreements.
  • Send out and monitor mandatory probation confirmation letters and conduct HR job chats as required.
  • Provide staff with routine letters as required.
  • Provide administrative support and assistance during meetings and/ events.
  • Manage sickness and absence records in the Corporate Service Team
  • Provide support to other CS team members when needed.

The above list is not exhaustive and the jobholder will be required to be flexible and take on other ad hoc tasks as required, including participating in the Embassy’s emergency planning and any response to a crisis.

Eligibility:

  • Applications will only be considered from those who are currently residing in the UAE and with a current and valid UAE resident visa. Applicants will be asked to provide evidence of their UAE resident visa/ Emirates ID as part of their application.
  • Applicants must be available in a full time capacity.
  • Applicants must be able to obtain a valid UAE police clearance certificate.
  • Demonstrated ability and experience in an administrative support position and with excellent skills in MS Office programmes (Word, Excel, PowerPoint, Outlook, Teams).
  • Excellent customer service skills and telephone manner. Demonstrates courtesy and consideration in dealing with all stakeholders.
  • Demonstrates initiative, adaptability, and the ability to work flexibly both in a small team and individually.
  • Demonstrated ability to communicate effectively in English, both oral and written, at all levels. Able to express ideas and messages clearly and concisely.
  • Excellent organisational skills, including ability to organise and prioritise workloads, organise records, meet deadlines and maintain close attention to detail.
Previous HR experience in either the public or private sector.

The Embassy aims to offer an attractive working environment and remuneration package for this role, including: 25 days of leave per annum (calculated pro-rata); on-site swimming pool, gym, and sports facilities (subject to COVID-19 restrictions). 

Salary is at AED 8,722 per month.

There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.

The Embassy is open from Monday to Friday, from 07:30 to 18:00. Conditioned working hours are 38 hours per week (including breaks), and specific working hours for this role will be confirmed at a later time.

Whilst the role may be based in either Abu Dhabi or Dubai, the jobholder may be required to visit the Embassy in the other Emirate, subject to COVID-19 restrictions and to operational needs. The jobholder should be flexible in their approach to hours worked as these will also be dictated by operational needs and may involve working out of hours (evenings/ weekends). Flexible working arrangements may be considered based on operational requirements and agreement with the line manager, and in line with FCDO and Embassy policies.

The successful candidate will be required to transfer their visa under the Embassy's sponsorship.
