Who are we? 

The British Government in Germany is based at the British Embassy in Berlin and our consulates in Dusseldorf and Munich. We are part of a worldwide network, representing British political, economic and consular interests overseas. Currently, we are looking for a part-time Estates & Procurement Support Officer.

As part of the wider Corporate Services (CS) Section, the Estates Team contributes to the estates operations of the mission.

This is an interesting opportunity to support the Estates Team, providing maintenance to over 50 properties in the Berlin area. The job holder must have experience in Facility Management, be accustomed to the Berlin rental market and have experience with procurement and finances. This is a fixed-term 2 year contract with the possibility of a permanent contract subject to performance and funding.

Roles and responsibilities: 

  • Provide administrative support to the Estates and Procurement Team;
  • Estate Maintenance and repairs – keep logs, arrange for contractors, make appointments, coordinate with tenants;
  • Setting up financial records for supplier payments;
  • Coordinate and support any visits to the Estates (such as heating oil deliveries, maintenance and landlord visits, H&S inspections, official visits);
  • Register and deregister properties with utility suppliers as directed; arrange payments;
  • Assist with planning of renovation projects;
  • Organise and administer domestic equipment floats;
  • Property search;
  • Administer job ticket subscriptions; business cards and door signs;
  • Procurement of Embassy supplies;
  • Carry out inventories (incl. Government arts collection and high valuable items) and assist the with check-in and check-out of occupants on arrival and departure;
  • Contribute to wider objectives of the British Government’s Germany network and support its positive working environment;
  • Carry out any other duties that may reasonably be required and which are in accordance with the grading and core competencies of the job;
  • Any other duties that may reasonably be required in support of the wider work of the Embassy, including crisis work.

Our ideal candidate shows:

  • Excellent German  written and spoken, minimum level required B1 under the CEFRL or equivalent*;
  • Excellent English language skills written and spoken, minimum level required C1 under the CEFRL or equivalent*;
  • Excellent organisational skills;
  • Excellent time management and prioritisation skills;
  • At least 2 years of experience in a similar role;
  • Well-developed customer services skills; 
  • The ability to work independently with a minimum level of supervision;
  • The ability to work effectively with others;
  • Proficient in standard MS Office applications, especially Outlook, Word and Excel. Experience of Oracle data bases desirable;
  • Ability to maintain confidentiality at all times.

The gross yearly salary for a part-time position is €27,338.40 rising to a maximum of approx. €30,709.22 gross per annum after a qualifying period in addition to performance related pay (salary is not negotiable). Working hours per week are 22.5 hours net

The successful candidate will be subject to professional background check and security clearance. The successful candidate must have pre-existing work authorization for Germany in order to apply.

Staff recruited locally by the British Embassy in Berlin are subject to Terms and Conditions of Service according to local German employment law.

Visa / passport requirements: must currently hold the independent right to live and work in Germany and be prepared to ensure that right remains throughout the scope of the contract.
