Corporate Services Benelux (CSB) is a joint service of 36 colleagues and over 35 contractors that leads on operational support to the UK Diplomatic Missions in Brussels (our Missions to the EU & NATO and our bilateral Embassy to Belgium). It also has some responsibility for the Devolved Administrations in Brussels and our Luxembourg & The Hague Embassies. We manage and deliver a broad combination of complex operational and strategic work on staff issues (locally recruited and UK based), Finance, IT, Security and Transport. We also manage a shared Residence for all of the UK Missions’ high level entertaining. It is one of the biggest operations in the UK’s Europe Diplomatic Network. As we continue to get busier, particularly with the UK’s exit from the EU, we are recruiting an extra team member to drive a closer focus on Health and Safety issues. This is particularly important because of the regular turnover of staff in the Missions and a new Facilities Management contract about to come on board.

Specifically, the successful candidate will be an organised self-starter, with a flexible ‘can do’ approach to the work with excellent communication skills- fluent in English and a solid knowledge of French.

Main Duties / Responsibilities

Support for UK based staff:

  • Liaison with external providers concerning French language classes for UK-Based officers.

Health and Safety: ensure conformity around Health and Safety (H&S) requirements,  including:

  • Lead on the preparation of the cross Missions H&S Committee meetings, including reporting on agreed follow up and monitoring progress;
  • Monitor mandated medical returns;
  • Arrange Occupational Health assessments and follow up;
  • Lead on securing and having delivered First Aid training sessions;
  • Manage the various first aid provisions in the workplace;
  • Lead on the activities related to the annual Control of Substances Hazardous to Health Regulations (COSHH) activities;
  • Manage the upkeep of the small in-house gym (especially that the equipment is maintained and clean).

General:

  • Support the Finance and FM Teams on capturing management information around energy consumption;
  • Champion follow up actions on ‘greening’ the office and eliminating single use of plastic;
  • Support Director and Deputy Director CSB on H&S and Estates questions  related to the transformation of the EU Mission into Third Country status;
  • Lead, in consultation with the Deputy Director CSB, on supporting specific procurement processes related to corporate services;
  • Liaise with One HMG team and partners to ensure staff lists are up to date  and that documentation is in order;
  • On occasion, support other Teams within Corporate Services Benelux when they have a critical gap.
  • A sound and practical understanding of corporate processes, as well as understanding their significance and impact on a broader level;
  • Experience in coordinating activities within teams and actively following up actions and delivery;
  • Well-developed interpersonal and customer service skills;
  • Ability to deal with a broad range of internal & external stakeholders;
  • Highly effective time management including the ability to multi-task and work under pressure;
  • Able to demonstrate a high level of initiative, attention to detail;
  • Able to work both autonomously and in collaboration with others;
  • Demonstrate a high level of verbal, oral and written communication skills;
  • Discreet, diplomatic and confidential;
  • Fluent in written and spoken English;
  • Intermediate written and spoken French;
  • Proven MS Office skills (Microsoft Outlook, Word, Excel).
  • A recognised Health and Safety qualification;
  • Dutch language skills.

Terms and conditions

This is a permanent full-time contract for 5 working days (36.25 hours net) per week. Although the appointment is for an indefinite period of time, it is expected that the overall period of service will most probably not exceed two years. This point will be addressed during the recruitment process.

The monthly salary for this position is €3,175.72 A2 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
