Reception

The British Embassy in Tbilisi is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Receptionist.

 The jobholder will be the part of the corporate services section and will be responsible for providing reception services for the Embassy.

Main Duties and Responsibilities:

  • Providing full reception and telephony service;
  • Liaising with Embassy drivers, managing daily vehicle schedule and preparing the Driver Duty roster;
  • Providing back – up accounting  duties;
  • Travel/reservation services as and when required;
  • Circulating and distributing information to the wider Embassy Ad hoc translation services;
  • Maintaining up-to-date staff phone lists and directories of hotels and airline companies;
  • Low value procurement:  requisitioning and receiving  of goods and services for admin related expenditure on oracle based system PRISM; procurement card holder for low value purchases;
  • Conference room bookings;
  • Maintaining Embassy stationery & cleaning supplies;
  • Assisting and supporting different departments of the Embassy with logistical arrangements (hotel, venue and transport bookings); 
  • Administering Management Imprest of 2000GEL and stock of fuel vouchers;
  • Arranging dispatch and receipt of Embassy shipments/deliveries;
  • Liaising with local service providers (including local utility, insurance, car services companies etc);
  • Diplomatic accreditations for UK based staff;
  • Fire Evacuation Assembly Coordinator;
  • Other ad hoc duties as required

Other:

  • In charge of Embassy stationary supplies.
  • Previous reception or customer services experience of at least 3 years;
  • Some logistical/ administrative previous experience;
  • Experience of working for an international organisation would be an advantage;
  • Strong IT skills (office programs);
  • Fluent Georgian and English language skills.
  • Strong Organizational and Interpersonal skils.
  • Russian language skills;

  • Knowledge of FCO working processes.

This is a full-time, permanent position (subject to 3 month probation), 40 working hours (net) per week. The monthly salary is 2460 GEL (gross). Please note that staff members are responsible for paying any income tax required by local law.

The successful candidate will be subject to a professional background check and security clearance.

Staff recruited locally by the British Embassy in Tbilisi is subject to local Terms and Conditions of Service.
