Main purpose of job:

  • Based in the British Embassy in Tokyo and reporting to the Regional Manager, Trade and Investment, the post-holder will support the delivery of Invest Northern Ireland’s market strategy in Japan, South Korea and Taiwan with the ultimate goal of securing trade and investment wins for Northern Ireland, as well as providing efficient operations and administration support to the Regional Manager, Trade and Investment in North East Asia.
  • The post-holder will provide support to the Regional Director and work under his/her supervision. The post-holder will arrange business meetings and assist with the identification of business opportunities (Trade and Investment) for Northern Ireland. He/she will maintain data on the internal CRM system, prepare monthly returns and activity reports, and submit them on a timely basis.  
  • The post-holder will undertake market research for Northern Ireland companies, meet with them, prepare meeting schedules, assist them in formulating a strategy to export to North East Asia market and help them to resolve issues. After 6 months in post, the post-holder will be assigned specific target sectors in which he/she will be responsible and they may also be assigned to lead on either the South Korean or Taiwanese markets.
  • The post-holder will be responsible for delivering events, attend conferences/expo, arrange meetings for clients, and manage logistics plans (including Trade missions, VIP visits, senior official visits from Northern Ireland) and work in partnerships with other stakeholders to raise Northern Ireland’s profile for commercial, education and tourism purposes.
  • The post-holder will be required to develop positive working relationships with the Department of International Trade (in Japan, South Korea and Taiwan), Northern Ireland officials and other business and trade organisations and chambers of commerce, work with others to gather market intelligence and insights, and communicate them. The post-holder will work with the Regional Manager and the wider team on promotional initiatives including social media campaigns.
  • The post-holder will also assist with expense processing, procurement / purchasing work and working with regional operations manager of Asia Pacific based in Shanghai on internal procedures and payment related matters, as well as making regional and international travel arrangements for Regional Trade and Investment Manager based in Tokyo.
  • The post-holder is expected to undertake travel on a regular basis, either within Japan, to the UK and also to other countries. The post–holder will also be supporting the wider North East Asia and Asia Pacific team as required by the team management.
  • The post-holder will be required to manage and deliver specific events within a pre-allocated budget.
  • The post-holder will be required to liaise actively and regularly with the Asia Pacific and other Invest Northern Ireland offices. The post-holder will be expected to make decisions delegated to him/her by the team management, and act within Invest Northern Ireland policies and guidelines.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Assist with the delivery of an in-market strategy for specific business sectors to promote Northern Ireland capability which contributes to the overall goals of the Asia Pacific territory;
  • Proactively identify relevant business opportunities for Northern Ireland companies through market intelligence, connections and research;
  • Undertake market research, prepare sector briefings and assist Northern Ireland companies to increase export sales and help to secure investment wins for Northern Ireland;
  • After six months, supported, as required by the Head of Territory/Regional Manager, to lead on the development of the South Korean and Taiwanese markets.
  • Develop and maintain effective working relationships within the British Embassy, Department of International Trade (DIT), Northern Ireland government representatives, stakeholders and businesses;
  • Provide in-market support for company visits, trade missions, events and exhibitions, including the arrangement and management of the necessary logistics and protocols;
  • Support business delegations by providing access to English/Japanese translation services in an effective manner as required, as well as translating promotional materials;
  • Manage relevant information sources and maintain accurate recording of customer and stakeholder information on Invest NI’s CRM and management systems. Prepare reports (including activity / performance / market reports) accurately and timely for management and clients;  
  • Work effectively and in partnership with wider teams based in Asia Pacific, Northern Ireland and other locations.
  • Effective management of the North East Asia Regional Trade and Investment Manager’s calendar, meeting schedule, travel arrangements, pre-approval requests and other associated work requirements.
  • Facilitating the North East Asia team on operations related matter, including payment of work related items, expense queries, purchasing policy, use of corporate card, event pre-approval and post event evaluation process.

 

  • Educated to degree level ideally in a business or related function;
  • Over 5 years’ working experience in a private or public sector organisation;
  • Experience in undertaking market research, analysing market data, preparing reports, presenting information to clients and helping clients to achieve positive commercial outcomes;
  • A sound commercial knowledge of Japan and the business opportunities across sectors;
  • Good networking skill, experience in building and maintaining effective working relationships across all levels of businesses;
  • Attention to detail, excellent organisational, IT and administrative skills;
  • Ability to work at pace and independently as part of a remote team;
  • Proficient in the use of Microsoft Office (Word/Excel/PowerPoint).
  • Knowledge of UK / Northern Ireland’s key sectors and business drivers
  • Knowledge of South Korea and the language
