Main purpose of job

Responsible for conducting a rolling audit of Joint Personnel Administration (JPA) i-Expenses, ensuring expenses are claimed in line with current policy and highlighting potential fraud to the chain of command for further investigation.

What will the jobholder be expected to achieve?

Raise associated paperwork (JPA F025) and maintain records of BDSUS audit checks (manual and electronic format).

Audit all JPA 5% Automated selections.

Audit all JPAC 5% Manual Claim selections.

Conduct expense audits at the request of Defence Business Services (DBS) JPAC Offline Expense Claims.

Conduct a monthly 100% visual review of the BDSUS Expense Report (ER) and audit a minimum of 5% i-Expense claims including any others which, on judgement, require closer investigation.

Present the ER to Chain of Command (CoC) for signature, annotated with audit outcomes and retain according to current direction.

Secure all audited claims and supporting documentation within BDSUS for a minimum period of 6 financial years in line with HM Revenue & Customs (HMRC) legal requirements. 

Maintain and review the BDSUS Authorised Required List (ARL).  Ensure personnel are retained or removed from the list as required.

Report all cases of suspicious/irregular claims identified during the audit of i-Expense claims to the BDSUS CoC, producing the necessary paperwork (JPA F025b).

Support the conduct of expense audits on wider public funds when required.

Act as a first point of contact to military customer enquiries.

Support military subject matter experts in dealing with policy questions on pay and allowances.

Underpin wider J1 (military) team resilience for occasions such as absences and illness.

Essential on arrival:

  • Relevant work experience or bachelor’s degree
  • Ability to work with databases and software
  • Excellent oral and written communication skills as well as time management skills
  • Ability to multi task with strong organisational skills
  • Ability to handle confidential employee issues/information and with employees in a friendly and sensitive manner
  • Must be able to work independently and as a part of team
  • Proficient in all MS Office 365 applications, specifically Word, Excel and PowerPoint
