The UK Permanent Representation to the EU (UKRep) works within the EU and its member states to maximise British influence on issues such as trade, the single market and economic growth and is now looking for a highly motivated Team Coordinator.

You will be a key part of the Private Office team, which supports the work of the UK Permanent and Deputy Permanent Representative, the Director-General for UK-EU Partnership, PSC Ambassador and the ECOFIN Director. You will work at the heart of the action, at a busy and interesting time for the UK Representation to the EU to provide secretarial and administrative support to the Private Office Team.

Main responsibilities will include:

Support to Ambassadors and Private Office team

  • VIP visitor management (welcoming, escorting and providing refreshments);
  • Managing the diary of the Head of Private Office;
  • Supporting organisation of inward and outward visits for senior visiting officials;
  • Issuing correspondence;
  • Preparing documents ahead of meetings;
  • Arranging travel for senior officials, including regular visits to London;
  • Handling IT support requests.

General Private Office Section support

  • Providing proactive, effective business and general administrative support to the team;
  • Faxing, photocopying, scanning and distributing documents;
  • Managing the team’s electronic and paper filing systems;
  • Coordinating corporate activity and projects;
  • Processing expense claims and budget support;
  • Supervising and managing office supplies.
  • Fluent English (both oral and written);
  • Very good administrative, secretarial and organisational skills, with relevant experience;
  • Excellent interpersonal skills and telephone manner;
  • Ability to manage and prioritise own workload;
  • Adaptability and proven ability to work under pressure;
  • A working knowledge of Microsoft Office Outlook, Word and Excel, and Internet Explorer.
  • A good level of spoken and written French;
  • Knowledge of EU decision-making and processes;
  • Understanding of the workings of the UK civil service.

This is a full-time position for 5 working days (36.25 hours net) per week.

The monthly gross salary for this position is € 2,504.94 A1 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
