Main purpose of job:

Project manage the delivery of the Queen’s Birthday Party in Hong Kong in June 2020. This will combine some creative elements with some more technical and administrative work to ensure the event comes together.

The job-holder will project manage the organisation and delivery of the UK’s national day reception in Hong Kong. They will be responsible for coordinating the work of teams in the British Consulate-General on guest lists, invitations, sponsorship, catering, music and performance, and VIP handling. They will manage the relationships with various stakeholders including venues, caterers and possibly design agencies.  They will liaise on a regular basis with the contractors, with other suppliers and with BCG teams to ensure that the elements are delivered to a high standard, on time and on budget.

Roles and responsibilities / what will the jobholder be expected to achieve:

  • Project Management: ensuring the Queen’s Birthday Party in Hong Kong is well designed and delivered on time and on budget.
  • Stakeholder Management: Negotiating with potential contractors to secure the best possible services at the best possible prices.
  • Co-ordination: work across the Consulate-General including managing guest lists and working on invitations. Some of this will be quite detail focussed and computer based. With support from Corporate Services Team, ensuring compliance with budgetary and procurement rules; reporting plans and progress.
  • Event Delivery: Work setting up and on the day of the event to draw together the preparations into a fantastic event.
  • Lesson Learning: drawing together our lessons for next year to ensure we have captured all the things we would do again and those we wouldn’t.

This position is open to Hong Kong citizens, permanent residents, and partners/dependants of UK-based diplomatic staff currently posted in Hong Kong. Employment offers are subject to successful clearance of pre-employment checks. No accommodation or relocation expenses are payable in connection with this position. Candidates must have or be able to obtain work authorisation for Hong Kong in order to apply.


  • Must be fluent in English written and verbal skills
  • Previous experience managing events or running projects would be an advantage.

This role provides plenty of opportunity to learn and develop. Event management is a professional skill and this role would suit someone who was interested in developing or strengthening those skills. In addition we will run regular project management meetings allowing a degree of project management learning.  There will also be regular access to senior leaders at the Mission as they think through how to make the party as good as possible.

Working patterns:

Could be done as a job share, in compressed hours, but unfortunately for security reasons it is not possible to work from home.
