Corporate Services Benelux (CSB) is a joint service of 36 colleagues and over 35 contractors that leads on operational support to the UK Diplomatic Missions in Brussels (our Missions to the EU & NATO and our bilateral Embassy to Belgium). It also has some responsibility for the Devolved Administrations in Brussels and our Luxembourg & The Hague Embassies.

We manage and deliver a broad combination of complex operational and strategic work on staff issues (locally recruited and UK based), Finance, IT, Security and Transport. We also manage a shared Residence for all of the UK Missions’ high level entertaining. It is one of the biggest operations in the UK’s Europe Diplomatic Network. As we continue to get busier, particularly with the UK’s exit from the EU, we are recruiting an extra team member to support in keeping us organised on a number of pieces of regular activities.

Specifically, the successful candidate will be an organised self-starter, with a flexible ‘can do’ approach to the work with excellent communication skills- fluent in English and a solid knowledge of French. They will support the CSB Director and cover a range of management services across the CSB teams allowing them to showcase their broad range of skills.

Main Duties / Responsibilities

Support to the UK Based Staff Team:

  • Provide access to staff residential properties, liaising with the Facilities Management Provider and contractors as necessary;
  • Work with the Belgian Tax Office on the processing of key documents;
  • Lead on a range of documentation linked to UK Based Officers;
  • Invigilate the regular French language exams undertaken by staff;
  • Collate data for London to help us monitor/calculate the cost of living;
  • Lead on administration around & analysis of monthly telephone invoices.

Human Resources:

  • Initiate reminders and letters on a range of HR issues (such as tax and appraisal issues);
  • Lead on the tri-annual Mobility Report and follow-up actions from them.

General:

  • Ad hoc support to the Director & Deputy Director CSB (diary, meeting management);
  • Manage a number of CSB filing systems;
  • Maintain the CSB SharePoint, liaising with Team leads on receiving timely updates to their respective areas.
  • Excellent organisational skills: proven ability to plan and prioritise tasks, anticipates problems, and delivers to deadlines;
  • Proven ability to work successfully in a team;
  • Adaptable, with excellent customer focus, and a professional manner;
  • Fluent in written and spoken English;
  • Intermediate written and spoken French;
  • Proven MS Office skills (Microsoft Outlook, Word, Excel).
  • Experience of an Oracle computer based accounting system;
  • Driving licence as the job entails visits to residential accommodation spread across Brussels and we have self-drive cars;
  • Working knowledge of Dutch would be a bonus.

Terms and conditions

This is a permanent full-time contract for 5 working days (36.25 hours net) per week. Although the appointment is for an indefinite period of time, it is expected that the overall period of service will most probably not exceed two years. This point will be addressed during the recruitment process.

The monthly salary for this position is €2,630.18 A1 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
