Residence Coordinator

The British Embassy in Abu Dhabi has a vacancy for a Residence and Contacts Manager, Grade A2 (L).

The Role:

The Residence and Contacts Manager will coordinate and arrange events in the residence both for the Ambassador and in partnership with DIT and outside organisations. The job holder will also develop and maintain a contacts data base for use in the wider Embassy.

Main Duties and Responsibilities:

Events

  • Liaise with the relevant sections of the embassy and any external event organisers to assist in the organisation of their events (e.g. show rounds of the property, explain facilities and set up options, explain all that is required from organisers of events at the Residence: charges, contracts, insurance, security, invitation format, timings for guest list hand in, eternal contractor requirements).
  • Organise HMA events in the residence.
  • Coordinate guest lists for functions including sending invitations and logging replies.
  • Participate in the Queen’s Birthday Party Committee.
  • Task the Residence team as required during events.

Contacts database

  • Maintain HMA and Chancery contacts databases (e.g. add new contacts and delete out of date entries).
  • Maintain guest lists for repeat events, updating contact information where necessary.

Line management and budgets

  • Oversee the management of the Residence:

           i.    Ensure that an inventory of entertainment resources such as linen, tables etc is maintained.

                ii.       Ensure the kitchen inventory is maintained.

               iii.       Maintain the Residence Imprest. 

               iv.       Maintain records of the Residence Corporate Credit Card.

  • Keep monthly financial records for Business Hospitality and Representational Expenditure budgets.
  • Produce monthly forecasts of expenditure for Business Hospitality and Representational Expenditure budgets.
  • Oversee the work of the Residence staff:

              i.             Produce a weekly schedule for the Residence team.

             ii.             Produce a monthly logging of the Residence team time sheet.

            iii.             Ensure the Residence staffs have objectives and personal development plans.

Support to HMA and DHM offices

  • Deputise for Chancery PA and Office Manager during any absence.
  • Assist with administrative duties of the Political Section as required.
  • Liaising with Hotel contacts on accommodation during VVIP/VIP visits.
  • Take part in the Embassy emergency planning and any response to a Crisis.

Essential:

  • Excellent command of spoken and written English.
  • Previous experience in handling events.
  • Excellent interpersonal and communication skills with a strong customer focus.
  • Strong IT computer skills using Microsoft Word, Excel, PowerPoint and Internet.

Working Hours and Remuneration:

The Embassy aims to offer an attractive working environment and remuneration package for this role, including: salary of AED 8,278 per month inclusive, performance bonus, five weeks vacation per annum plus office holidays, on-site parking and on-site swimming pool, gymnasium and sports facilities.  The contract will be a 2 Year Fixed term contract.

No accommodation and relocation expenses are payable in connection with this position.

Conditioned working hours are 38 hours per week. Standard working hours are from 07:30 to 14:30 from Sunday to Thursday. Position holder should be flexible in their approach to hours worked as these will be dictated by operational needs and may involve working out of hours.

Eligibility:

The successful applicant will be required to obtain security clearance. Higher clearances can be granted only to certain nationalities.  For this reason, candidates must be of British, American, Australian, Canadian or New Zealand nationality in order to gain the level of clearance required.
