Main Purpose of Job:

The British Government’s Embassy in Washington has an exciting opportunity for a dynamic and driven person to join the Americas Global Property Support Services (GPSS) as the Regional Technical Assistant.

In this role the jobholder will provide support to the GPSS Senior Technical Lead (SRTL) and Regional Technical Lead (RTL) within Americas (based in Washington DC) in order to support the delivery of the Global property Support Service  SLA.

You will become the point of contact for the Americas region in terms of RTL Technical administrative support. You will manage the technical administrative function to ensure the smooth running of the Regional RTL and TWS (Technical Works Supervisor) network. The role will involve organising, planning, and logistics for the SRTL and RTLs. You will maintain customer relationships in region, where collaboration with other missions (posts) may be required up to Corporate Service Manager (CSM) level. You will provide strong IT support in maintaining and updating the Americas Teams site. A large proportion of the RTA role will be involved with Teams, Word and Excel-based programmes.

You will also be expected to prepare reports and general correspondence, and other communications. You will manage timely reporting and activities for RTL and TWS. There will be an opportunity to develop Health & Safety skills and qualifications to support RTLs deliver the GPSS service through focussed support to Posts.

Roles and Responsibilities:

  • Assist Senior Regional Technical Lead (SRTL) and Regional Technical Lead (RTL) in America’s regional visits by extracting key data from our in-house property records and management information database, and providing to the SRTL/RTL at least one week in advance of their planned visits. Following completion of a RTL visit, monitor RTL reporting for compliance with KPI targets; and if reports are not issued within 28 days for completion of visit, issue a reminder to the RTL concerned.
  • Monitor RTL/TWS monthly activity returns forms (MARs) and travel programmes and ensure reports are submitted by the SRTL/RTL at the prescribed timelines. Follow up where necessary, update onto our systems, and maintain a record of all reports issued to ensure that it is easily located by SRTL/RTL GPSS Regional Manager/Service Delivery.
  • Liaise with Posts to prepare for RTL visits including sending pre-visit communications, and explaining the purpose of the visit.
  • Undertake quarterly calls with Posts in region to monitor progress against targets set by RTL during visits particularly around compliance, sustainability, and recording of energy usage
  • Undertake monthly calls with TWSs in region to determine progress against objectives set by RTL and record any issues in region
  • Provide support to RTLs by researching information when requested. When RTLs s are away from the office, serve as the initial point of contact for customers, logging/ filtering/ prioritising calls and passing on to the relevant  according as appropriate. Follow up as necessary to ensure the customer receives a timely response.
  • The above list is not exhaustive and the job holder will be required to be flexible and take on other ad hoc tasks as required.

  • No direct staff management. However working with Service Delivery Management to provide a draft for approval by monthly KPI Dashboard & Summary to be used for the operations review and head of region monthly business review.
