Main purpose of job:

To be a key member of the BDHC Bengaluru Corporate Services team responsible for the IT, Security & Crisis management functions at BDHC Bengaluru. In addition, support the financial and operational functions of the office.  The job is a fantastic opportunity to make a real impact on the management functions though it is a short term contract. Roles and responsibilities 

IT:

You will be the IT Support Officer for the British Deputy High Commission (BDHC) Bengaluru.  You will provide critical day-to-day support for the efficient and effective running of the FCO’s IT network as IT Support Officer (ITSO) for the Universal-Official tier and perform systems administration and maintenance tasks as stipulated by the FCO guidelines.

You will be the focal point for anything ‘IT’ including handling IT queries,  to resolution of IT issues in conjunction with the UK IT Help Desk and other IT stakeholders and ensuring  IT security procedures and processes are followed.

You will be a key contributor to ‘Tech Overhaul’ an IT programme designed to transform the FCO’s technology and deliver the tools staff need to do their jobs effectively.

You will also be responsible for recording and maintaining FCO IT inventory at BDHC Bengaluru, providing year end Information Assurance on IT equipment and security to the head of post.

Finance and Vendor Management:

You will provide critical day-to-day support for the efficient and effective running of the BDHC.  You will support the financial, procurement and other operational aspects of the BDHC.  This includes liaising with suppliers, ensuring timely presentation of invoices and their payment, preparing outgoing diplomatic bags etc.

You will be responsible for following the Purchase to Pay (P2P) process while purchasing of goods or services on FCO’s resource management system.

You will support the BDHC team more widely, for example helping during events and visits.

You will also support the Corporate Services Manager for any ad hoc requirement relating to estates or procurement and deputise for her in her absence. 

Security & Crisis Management:

You will be responsible for day-to-day management of the contracted security guard force at the BDHC, ensuring they are undertaking their duties to the required standards at all times and dealing with visitors professionally and courteously. You will also be responsible for ensuring the contractor maintains Key Performance Indicator’s (KPI’s) by monitoring performance constantly.

You will also manage the emergency communications, ensuring they are regularly tested and available at all times.

You will also be involved with the business continuity and crisis management of the BDHC and be involved in reviewing and testing of relevant plans and procedures.

Line Management Responsibilities:

You will line manage the BDHC front office executive ensuring effective performance by following FCO’s performance management system and good line manager campaign.

Additional Information

The British Deputy High Commission in Bengaluru is an office of nearly 30 people with a focus of the BDHC is supporting UK trade and investment, but also covering science, innovation, climate change and a range of other bilateral issues.  We help deliver successful VIP visits, both of Indians to the UK and vice versa.  We do not issue UK visas for Indian (or other) passport holders or provide consular support to British nationals.

The Corporate Services team with the BDHC Bengaluru is part of the UK government’s pan-India Corporate Services Team which ensures the smooth and efficient running of the British High Commission network in India.   We provide a range of services to all our Posts in India, as well as to representatives from around 17 UK Government departments and bodies working out of our offices.  Our services include Human Resources, Visits & Movements, Finance, IT, Transport, Mails & Diplomatic Bags, Estates and Procurement. Our services are delivered within Foreign & Commonwealth Office (FCO) rules and guidance, as well as value for money.

You will be a key member of a seven member Corporate Services team in Bengaluru. This role requires a team player with strong IT skills and culture of customer service with a proactive attitude in helping the team deliver its objectives. You will be strongly organised and have good time management skills.  As Corporate Services Officer, you will have excellent communication skills managing a range of internal and external stakeholders from staff, government officials and our suppliers.

  • A confident self-starter, with proven energy and initiative in overcoming obstacles, and the ability to handle multiple tasks and prioritise with minimal supervision.
  • Willingness to learn and develop.
  • Good interpersonal skills; someone who can build contact and can negotiate effectively, including with senior staff.
  • Excellent team working skills, with strong ability to build co-operative working relationships across a large network, including outside of the British High Commission.

 

Education: Graduate in any discipline with at least 2 years of experience in a similar role.

 

Strong  IT , Finance and general management skills are desirable.
