Main purpose of job:

The Corporate Services Manager ensures the day to day operations of the British Embassy Santo Domingo, the small British Embassy in Port au Prince, and oversees the management of the Embassy’s residential properties, including the Ambassador’s residence.  

The position manages the Corporate Services Team (currently 6 permanent staff and 2 interns, based in Santo Domingo) and provides them with strategic direction to ensure effective operational delivery of all areas of their work for both embassies: Finance, Human Resources, Contract and Supplier Management, IT, Estates, Security and Transport.

The job holder supports senior management decision making by leading on budget analysis of current and planned activity, advises on emerging risks and mitigation, and reviews business processes, to identify innovative ways of working to deliver an efficient and professional operation.

The Corporate Services Manager reports to the Deputy Head of the Embassy and works closely with HM Ambassadors to the Dominican Republic and Haiti, and other senior colleagues in the UK, Haiti, Mexico and the US. 

 

Roles and responsibilities:

MANAGEMENT– 50%

  • Management of the Corporate Services Team, ensuring full delivery of the team’s objectives in Finance, Human Resources, Contract and Supplier Management, IT, Estates, Security and Transport.

 

FINANCE and PROCUREMENT – 40%

  • Management of Embassies’ budgets in accordance with corporate policies to ensure on-budget expenditure, proper financial controls, and value for money.  Preparation of the annual bids for resources. Negotiation of contracts with suppliers.

 

HUMAN RESOURCES and LEARNING AND DEVELOPMENT – 10%

  • Oversight of terms and conditions for staff, and preparation of employment contracts.  Learning and development planned that is ambitious and creative and provides staff the tools needed to deliver and develop in the roles.

Budgets and Expenditure

  • Embassy budgets for Dominican Republic and Haiti.                                                
  • College/University level qualification in Business Management or equivalent. 
  • Strong IT skills and experience using MS Office, with a focus on Excel. 
  • Background in Accounting, Finance, Budgets, Human Resources or Estates. 
  • A proven track record of delivering results through others, to a high standard within tight deadlines.
  • Strong organizational, analytical and time management skills, with very good attention to detail.
  • Excellent interpersonal and communication skills with effective management of external relationships.
  • Ability to work with contacts and colleagues at all levels.
  • Flexible, resilient under pressure and decisive.
  • Personal drive and the ability to be a self-starter as well as a team player.
  • Ability to travel for training and annual conferences, and twice yearly visits to Port au Prince.
  • Experience or interest in the UK.
  • Experience of managing staff remotely.

Learning and development opportunities: 

The British Embassy offers extensive learning development opportunities. The job holder will undertake training, including the initial Corporate Services Managers course in the UK, as well as to travel to annual regional conferences, usually held in the Americas. The Embassy organises an annual Learning and Development week in Santo Domingo.  In addition, the job holder will have access to an extensive selection of UK government online learning.
