View Vacancy - JPN - Administrative Officer A1(L)
Main purpose of job:
To provide administrative support to the Embassy’s political section. We are a busy team that requires budget and administrative support in order to deliver effectively against our objectives. A successful candidate will be able to demonstrate good IT and interpersonal skills. This is an excellent opportunity for someone keen to develop office-based and English language skills, and who enjoys a dynamic and diverse working environment.
Roles and responsibilities / what will the jobholder be expected to achieve?:
- 35%: Management of the section’s budget and financial reporting, working proactively with colleagues across the section and the budget holder to ensure that the section manages its finances effectively in order to deliver its objectives.
- 35%: Support for visits and events, including liaising with external stakeholders, arranging routine calls and visits for team members, contributing towards the delivery of visits from UK ministers and officials, and supporting with the arrangement of Embassy events.
- 20%: Administrative support for colleagues across the political section, including management of the contacts database, stationery, and working environment.
- 10%: Active support for the Embassy’s corporate work, including responsibility for a specific role as part of the Embassy’s crisis response team.
Working patterns:
This is a part-time role, which is equivalent to three days a week. Flexible working opportunities are possible, and can be discussed with the hiring manager ahead of appointment. The current job-holder works flexibly four days a week from 10am to 4pm on three days, and until 2.30pm on the fourth day. Though we would be happy to discuss other patterns, for example to take into account family commitments. The Embassy is very supportive of a range of flexible working approaches.

The job provides an excellent opportunity to develop skills across a number of areas, and in particular in budget administration. The British Embassy offers comprehensive learning and development opportunities that will be fully available to the jobholder. We regularly run both work area specific training, as well as more general skills development in project management, finance, and leadership. Each year the job holder will be encouraged to use 5 development days to pursue job related and personal development goals.
All staff are required to take a role in the embassy’s crisis preparation and response. Full training will be provided for this and regular opportunities will be available to test and develop your skills.

- Occasional out of hours working is required to support Embassy events.
- Applicants must be able to secure a local work permit.
- Fluency in Japanese and business level English
IT skills, including experience with Microsoft Excel.
