Consular

To provide organisational and administration support to the Asia Pacific Consular Network, its management board and its regional director by monitoring and providing monthly forecasts for the region’s £500k budget, and by organising and delivering learning and development opportunities for the region.

This position will be one of a network coordination team of two who provide a central coordination and support role to a network of 134 consular staff across British diplomatic missions in Asia Pacific. This role provides budget management and leads on the learning and development to the APAC consular network. The successful candidate also provides qualitative information to the regional management board to support management decisions.

Resources Management

  • Monitor spend of Regional Budget (approx £500k).
  • Update allocations and monthly forecast information for APAC Network through using Hyperion with supporting commentary on forecast
  • Provide support and expert advice for budget managers, sharing best practice
  • Issue and update Network budget guidance
  • Run bidding / profiling / reviewing activity
  • Produce monthly Budget Summary reports to the RMB
  • Highlight budget risks/opportunities to CRD and posts
  • Consolidate budget returns and budget bids
  • Identify charging codes and Purchase Order errors
  • Communicate budget with region/ finance team/ Hyperion officer
  • Monitor/ update staff resources (Salary Envelope)

 Learning & Development

  • Follow the APAC L&D Strategy and implement its Action Plan
  • Promote L&D opportunities and foster a strong L&D culture
  • Single Point of Contact for regional L&D enquiries and provide L&D advice to consular staff drawing on advice from London colleagues and online materials.
  • Communicate L&D developments from centre (SND) using varied methods and techniques and feedback to centre on recommendations and suggestions.
  • Promotion of Consular & Crisis Faculty products on the ground  (e.g. Clever Nelly) 
  • Quality control for Regional Job Shadow Scheme
  • Facilitate occasional training sessions
  • Identify/target most suitable attendees for each workshop
  • Management/evaluation of L&D activities and events. Lead on the review/ implementation of lessons learned and improve L&D offer
  • Monitor spending of approx £120k L&D budget and approve claims from course participants

 Management Information

  • Produce MI reports for the RMB to monitor network activities
  • Assist CRD in Business Planning (prepare summary for quarterly reports etc.)
  • Bespoke production of MI reports to the CRD such as casework/ notarial work/ customer survey stats

This is a fixed-term employment for 6 months.

Normal working hours are 37.5 per week: 8.30am to 5.00pm from Monday to Friday.  There will be a requirement for occasional and limited out of hours work around major events and visits.
