Main purpose of job:

To perform a wide range of estate and general maintenance administrative duties across the Brazil Network. He/she will work closely with the Estate Manager, Estates Officers and Office Assistants on the day to day maintenance and running of the network estate, including working on estate projects when required. He/she will need to be pro-active, self-starter, organised, a good communicator and have a can-do positive attitude. A strong team-player with first class customer service and relationship skills.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Provide wide-ranging administrative support for the Brazil Network Estate. Receiving and carrying out customer requests in a timely manner, liaising closely with each customer. Keep internal work request systems up to date with service delivery progress and feedback to clients. Dealing and negotiating with suppliers making sure that maintenance term contracts are carried out correctly and on time, and that all works and tasks follow British and Brazilian standards.
  • Organise and maintain all property & maintenance files, libraries & databases including stock controls of maintenance stores. Assisting the Estate Manager with keeping inventories and property compliance audits up to date.  
  • Assisting with delivering network estate projects. Liaising with internal customers on estates maintenance demands across embassy and official properties.
  • Helping supervise all estate maintenance term contracts (including outsourced contracts). Making maintenance related purchases ensuring value for money, ensuring that all purchase to pay procedures are followed.
  • Provide other ad-hoc administrative support as and when required and be able to cover for other colleagues within corporate services during absences and leave periods.

Jobholder will be working partially remote until further notice.
