The British Embassy in Berlin is part of a world-wide network, representing British political, economic and consular interests overseas. An exciting opportunity has arisen for a Finance & HR Support Officer to:

  • Provide support to the Finance Manager, HR Manager and other members of the team on all finance/HR matters;
  • Deliver an efficient and professional accounts service in line with Foreign & Commonwealth Office (FCO) financial policy and objectives;
  • Provide a professional HR service across the FCO’s Germany network in line with German labour law, best practice and central FCO policy.

Main Duties and Responsibilities

Finance tasks:

  • To run the cash office efficiently and in compliance with audit/financial best practice requirements, promptly processing all cash receipts, preparing financial returns including Network Post Accounting spreadsheet, replenishing the imprests, reconciliations and yearly checks;
  • Electronic banking (i.e. Direct Debits for private petrol charges, printing the bank statements), taking care of the direct debit mandates, payment reminders and bank runs;
  • Checking the payment batches and calculating/distributing private meals/mobile phone calls.
  • Helping with the salary recharges, entering the pay as well as the British National Insurance, paying the Honorariums;
  • Journals for all internal residence events and payment of extra staff invoices;
  • Managing the budget for the clothing allowance;
  • Working closely with the processing team in the UK;
  • Dealing with queries, circulating the exchange rate, supporting the Germany Network with questions, e.g. in relation with iExpenses, UK Corporate Credit Cards;
  • Record keeping/filing of paperwork in accordance with Embassy guidelines;
  • Handling the incoming mail;
  • Back up for the Finance Assistant, i.e. preparing invoices to be forwarded to the UK for processing, bank statement entry follow up, and creating debit memos.

HR tasks:

  • Assist in managing and tracking budget calculation;
  • Prepare monthly salaries;
  • Support on recruitment in co-operation with the HR Hub;
  • General HR admin: e.g. update and monitor absence list, update annual lists to Foreign Office, prepare routine letters, liaise with Community Liaison Officer to ensure post reports are up-to-date and reviewed etc;
  • Ensuring offers are received (whenever necessary), invoices are checked and are correctly paid and then filed;
  • Support with On- and Offboarding.

Other tasks:

  • To participate in corporate projects focussed on supporting and developing the collective spirit of the Embassy and the Consulate-Generals in Germany;
  • Other duties that may reasonably be required and which are in accordance with the grading and core competencies of the job.





  • Recent experience of administration work, ideally in a Finance and HR setting;
  • Excellent organisational skills and good attention to detail;
  • Ability to deliver high quality work within deadlines;
  • Fluent English and German, both written and spoken. To at least C1 level;
  • Excellent communication skills and strong customer focus;
  • Able to think logically and solve problems;
  • Ability to work independently, but also with colleagues and contacts in the immediate and wider teams as appropriate;
  • Excellent IT skills, especially standard MS Office applications (Word, Excel and Outlook).

 


  • Some work experience in a HR and Finance management environment
  • Experience of working with oracle-based accounting system (PRISM).

This is a full-time position of five working days 37.5 hours net (excluding unpaid breaks) per week, for an initial contract period of two years.

Staff recruited locally by the British Embassy in Germany are subject to Terms and Conditions of Service according to local German employment law.
