The British Embassy in Berlin is a large overseas mission in the FCDO (Foreign, Commonwealth & Development Office) network, with a considerable number of official visitors including Royals and senior ministers. We are looking for an experienced manager with proven leadership and staff management skills to manage all of the Embassy’s transport requirements and fleet of official cars. The jobholder will also be responsible for other aspects of logistics, such as the smooth running of the Embassy’s postal services, IT support and work with colleagues on the Embassy’s crisis response as required. The jobholder will manage the transport team (3 staff), the IT support team (2 staff), and also manage the contractual relationship and day-to-day operation with our outsourced provider of chauffeur services. The jobholder will also have financial management and procurement responsibilities. The Transport & Logistics Manager reports to the Deputy Head of Corporate Services. 

 

Main Duties and Responsibilities:

  • Ensure delivery of an efficient and smooth running of all aspects of logistics (Transport, IT support, postal services, crisis response);
  • Lead and manage the local transport and IT support teams (direct line management of 3 staff, countersign for a further two officers);
  • Plan and coordinate all official vehicle movements and deal with any requests for official transport;
  • Oversee the sourcing and maintenance of official vehicles in line with central FCDO policy;
  • Procure and manage outsourced transport services;
  • Manage allocated budgets as directed;
  • Contribute to the Embassy’s sustainability plans to meet FCDO targets;
  • Responsible for contingency plans and support the Embassy in crisis situations;
  • Drive official vehicles, if required;
  • Work closely with other colleagues in the Corporate Services team, supporting the team to provide a high level of customer service;
  • Support the Visits/Events Manager with the coordination of official visits, especially larger delegations;
  • Office management tasks;
  • Participate in corporate projects focussed on supporting and developing the collective spirit of the Embassy and the Consulate-Generals in Germany;
  • Perform other duties that may be reasonably required.
  • At least 5 years professional experience of managing/coordinating transport operations or similar;
  • Experience of providing a high level of customer service;
  • A good understanding of vehicle fleet contracts and contract management;
  • Experience of managing and motivating a team;
  • An understanding and commitment to valuing diversity and contributing to an inclusive working and learning environment;
  • Ability to deal with pressure and work flexibly to deal with competing demands and deadlines;
  • Excellent communication skills, both written and spoken;
  • Adaptable and open to change;
  • Attention to detail;
  • Proven negotiation and influencing skills;
  • Experience of financial management;
  • Excellent oral and written English and  German (to at least level C1 CEFR);
  • Clean driver’s licence;
  • Medically fit to operate vehicles – this will be assessed annually;
  • Excellent IT skills. Knowledge of Oracle based systems an advantage;
  • The ability to maintain confidentiality at all times.

This is a full-time fixed-term position for a contract period of two years. 

The successful candidate will be subject to professional background check and security clearance. The successful candidate must have pre-existing work authorisation in Germany in order to apply.
